Encounters in NextGen® Enterprise EHR

An encounter is an interaction with a patient on a specific date at a specific time. An encounter can be a visit, a phone call, a virtual visit, a referral, a test result, or an interaction. A patient can have more than one encounter per day. Patient encounters are displayed on the Encounter History tab. You can expand or collapse the Encounter History tab using the button above the Quick Buttons panel. Each row in the Encounter History tab represents one encounter. Encounters are identified by date and time, provider, and location. The Encounter History tab displays basic information of an encounter like the rendering provider, location, appointment type/reason for visit, templates and documents related to the appointment. The Encounter History tab displays the list of encounters created for the selected patient and includes the following components: New Encounter Creates an encounter. Recategorize the Category Items

On the Categories tab, you can recategorize the documents, images, and files. You can add a selected document, image, or file to one or multiple categories, or you can remove it from the category. Note: You cannot recategorize the NextGen® Document Management images. Open NextGen® Enterprise EHR, and select a patient from the Patient Lookup window. Select the Categories tab. To view a document, image, or file, do one of the following: Select List View from the list. Select Tree View from the list. To expand all categories; select a category, select Category Options , and select Expand All Categories. To expand the selected category, select . Using Layout and User Preferences

NextGen® Enterprise EHR layout comprises menus and toolbars such as Title bar, Main menu, Top toolbar, and Status bar. You can set the user preferences and work with patient encounters and categories. You can also view the calendars and icons, and access the Alerts module, if the Patient Information Card (PIC) is enabled. The PIC in NextGen® Enterprise EHR provides the following information. View Data Share Documents

Before you begin Ensure that the View > Universal Preferences > Data Share > Use New DataShare Module configuration in System Administrator is set to True and the necessary access rights are enabled. For more information, go to NextGen Healthcare Success Community, and download the latest System Administrator Guide forNextGen®Enterprise. Note: If the View > Universal Preferences > Data Share > Use New DataShare Module configuration in System Administrator is set to False, the button opens the legacy Data Share module. Ensure that NextGen® Share is installed. Ensure that Carequality/Surescripts® National Record Locator Service (NRLS) is activated. You can open the Data Share module and search for external documents, such as Consolidated Clinical Document Architecture (C-CDA) documents, through Carequality or Surescripts NRLS. Document Selection Overview

The Generate Document window opens when you open the Documents module in NextGen® Enterprise EHR. It enables you to locate and select documents and generation options. The window contains the following components: Organize Documents Button You can select Organize Documents button to open the Organize document folders window. Folders Section The Folders section displays the system-supplied and user-defined folders. Document List Section The Document List section displays information for each document in the selected folder. If the All Documents folder is selected, information for all documents in all folders displays. This section contains the following columns: Document. Document name Locked By. View Medical Records and Demographic Templates

Open NextGen® Enterprise EHR. If needed, select a location and provider. Select a patient. The patient's encounters opens in the Encounter History tab. Do one of the following: Select an existing unlocked encounter. To create an encounter, select New. Note: If you are creating a patient or the patient does not have an encounter, NextGen® Enterprise EHR prompts you to create an encounter. To select a template, do one of the following: Select the Templates button on the Top toolbar. You can add the button to the toolbar if it is not visible. From the NextGen® Enterprise EHR Menu bar, select File > New > Template. The Select Template window opens. To display templates of that type, select the Medical Records (default) or Demographics tab. Note: If applicable, the Group and Case Management tabs also appear to select Group Medical Records templates and Case Management templates.
