Administrative Override

Once documentation is complete, the final step is submitting charges. When charges are submitted, the template is locked down. If you have administrative override rights, you can make changes or document additional information. Administrative override does not remove any charges already submitted; those must be adjusted manually. Note: Only users configured to have administrative override rights see the Admin Override button once charges have been submitted. Select the Admin Override button to “un-lock” the template. The system prompts you to confirm that you want to override charges on this encounter. Select Yes. The Submit button re-appears and the Admin Override button is replaced with red text that says Admin Override. Do one of the following: Correct any incorrect documentation such as side, site, drug, and lot number by selecting the medication from the Administered Today grid and clicking in the desired fields. Adding General Information for Dispensed Medications

You can add general information for documenting dispensed medications on the MICS Dispensing template. The following table describes the fields on the MICS Dispensing template, which are used to add general information for dispensed medications. Field Description Prepared by You can click this field, and select the preparer of the injection from the providers window. Specialty You can click the field, and select an appropriate specialty from the specialty window. After you enter the specialty, the selected value is defaulted in the Specialty field on the following templates of the NextGen® Medication Inventory Control, and the Specialty field becomes read-only. MICS Imms MICS Injections/Aspirations MICS Med Management Sub-Location You can click this field, and select the sub-location for dispensing medications. Submit Charges

When you select Submit, the following happens: Ties the lot number(s) to the patient Takes the medication(s) out of inventory Locks the procedure record Sends the information to the Procedures Module Sends charges to NextGen® Enterprise PM The Submitted By field displays the user’s name, the date and timestamp. The Submit button disappears and becomes red text that says Submitted. A Task button appears. For users with administrative override rights, an Admin Override button appears. Note: Ultrasound, CT, MRI, and Fluoroscopy used for Needle Placements are ordered and sent to the Orders module on the MICS Injection/Aspiration template. If the client only has NextGen® Medication Inventory Control, the charges are sent from the MICS Injection/Aspiration template. Documenting Dispensed Medications

You can document medications that are dispensed and administered to the patient on the MICS Dispensing template. You can use the MICS Dispensing template to document billable and non-billable medications that are dispensed and administered to the patient. The medications grid at the top of the template displays all medications that are documented on the MICS Dispensing template as dispensed to the patient. The following table describes the panels on the MICS Dispensing template. You can use the fields appearing above and below the panels to document general information for the dispensed medications. Panel Description Medication Dispensing You can use this panel to document medications that are dispensed to the patient when the administration is not needed. You can also use this panel to waste a medication. Submitting Immunization Charges

Once documentation of vaccine administration is complete, you can submit charges. Submitting charges does the following: Ties the lot number to the patient Takes the medication out of inventory Locks the template for that encounter Sends the information to the Orders Module and Procedures Module Send charges to Practice Management Submit Charges Update Submitted Vaccine Administration Details You can update the vaccine administration details after they are submitted for billing.
