Submitting Charges

Once documentation on dispensed medication is complete, the final step is submitting charges. Once charges are submitted, the template is locked, unless you have administrative override rights (see Administrative Override). Submitting charges does the following: Ties the lot number(s) to the patient Takes the medication(s) out of inventory Sends the information to the Procedures module Sends charges to NextGen® Enterprise PM Submit Charges Parent topic: Documenting Dispensed Medications

When you select Submit, the following occurs: The Submitted by fields display the user’s name, and a date and timestamp. The Submit button changes to the word Submitted in red text. A Task button appears. Parent topic: Submitting Immunization Charges

Submit Charges

Select Submit. The Submitted By fields display the user’s name, the date and timestamp. Red text indicates that the procedure was Submitted. For users with administrative override rights, an Admin Override button appears. Note: If an administered medication is documented and the quantity given exceeds the quantity available in the inventory, an alert appears. Select the Procedure Notes button. Make Changes to Submitted Charges with the Administrative Override

Any changes to submitted charges require an administrative override. Only users configured to have administrative override rights can reset codes on a submitted procedure. Administrative Override on the Finalize Visit template On the Finalize Visit template, select the Administrative Override check box. This enters the user’s name with a date and timestamp. Click the Reset Codes button. The IORTS FV Adminover template opens. Select the item for which you want to override the charges. Click Reset Codes. Click Close to return to the Finalize Visit template. Re-code and submit the charges. Note: This does not remove charges that have already been sent. Note: Ultrasound, CT, MRI, and Fluoroscopy used for Needle Placements are ordered and sent to the Orders module on the MICS Injection/Aspiration template. If the client only has NextGen® Medication Inventory Control, the charges are sent from the MICS Injection/Aspiration template. Administrative Override

Once documentation is complete, the final step is submitting charges. Once charges are submitted, the template is locked down. If you have administrative override rights, you can make changes or document additional information. Administrative override does not remove any charges already submitted; those must be adjusted manually. Note: Only users configured to have administrative override rights see the Admin Override button once charges have been submitted. Click the Admin Override button to “un-lock” the template. The system prompts you to confirm that you want to override charges on this encounter. Click Yes. The Submit button re-appears and the Admin Override button is replaced with red text that says Admin Override. Do one of the following: Correct any incorrect documentation such as side, site, drug, and lot number by selecting clicking in the desired fields.
