Adjust Medications

You can adjust the quantity of non-vaccine medications in the medication inventory. On the Inventory Management template, expand the Medication Inventory panel. Select the Adjust option below the medication grid. The fields below the medication grid, except the Qty field, are disabled for editing. The Reason for Adjustment field and Adjust Quantity button appear below the medication grid. Filter the medications displayed in the grid for selecting the desired medication. Select the medication to be adjusted from the medication grid. The following fields are automatically filled based on the selected medication. Source Drug Name Manufacturer NDC Lot# JCode Unit Type Expiration Dt Barcode In the Qty field, enter the quantity to be adjusted in the inventory. Waste Medications

You can remove a particular quantity of a non-vaccine medication and waste them from the medication inventory. You can use the Inventory Management template to waste medications from the inventory. You can also waste medications from the medical record templates during dispensing or administration. On the Inventory Management template, expand the Medication Inventory panel. Select the Waste option below the medication grid. The fields below the medication grid, except the Qty field, are disabled for editing. The Reason for Waste field and Waste Medication button appear below the medication grid. Filter the medications displayed in the grid for selecting the desired medication. Mass Inventory Update

Use the Mass Inventory Update button to manage complete inventory data through the use of a Microsoft Excel spreadsheet. The main steps in this process are: Export your inventory to an excel spreadsheet. Update medication quantities in the spreadsheet. Import the updated spreadsheet to update the medications quantities in inventory. Note: We recommend that you store the exported reports and files in a location that the database server can access, such as the NextGen EMR folder. This is detailed further in the workflow below. Send Adjusted Medication Quantities to the Main Inventory

Once the adjusted quantities are loaded into the grid and no further adjustments are needed, the updated quantities need to be updated in the main inventory grid. Select the Adjust Quantity button. This pushes all changes to the Inventory grid. An alert asks if you are ready to adjust inventory quantities. Select Yes. The new quantities are adjusted in the main inventory grid and no longer appear on the MLTS inv Imp Exp Config template. Select Save & Close to return to the Inventory Management template. Update an Adjusted Medication

Once the grid loads with the medication and adjusted quantities, you can update the quantity before sending it to the main inventory grid. Select the medication from the grid. The number in the New Qty column into the New Quantity field below the grid. Change the quantity in the New Quantity field. Select Update. Parent topic: Import Inventory Adjustments

Managing Medications in the Inventory

You can search for the medication inventory, view inventory details, and manage non-vaccine medications in the inventory. On the Inventory Management template, in the Medication Inventory panel, you can search for the medication inventory and view inventory details. The total number of items in the medication grid and the total quantity of the non-vaccine medications appear in the Grid Count and Grid Total fields respectively. You can also add, waste, adjust, and transfer non-vaccine medications in the medications grid. You can use the fields above the medication grid to filter medications based on a filter criteria. The filter criteria are specific to the selected location and sub-location, and the Sub-Location field appears only if it is configured in the Sub-Location(s) & Par Level Configuration panel on the Admin Configuration template.
