Create an Encounter

Before you begin Ensure that you have configured the encounter inheritance settings for Encounters on the Practice Preferences window in File Maintenance. When you have a patient chart open, you can create an encounter for the patient. Each new encounter may inherit information such as Encounter Details and Insurance from the previous encounter in the patient chart. You can add templates, documents, images, and other patient items to the new encounter. You can also assign insurance, enter remarks, and associate a program to an encounter. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. To create an encounter, do one of the following: On the Patient Information Card (PIC), select New Encounter. On the PIC, select Profile Options, and then select New Encounter. On the Encounter History tab, select New Encounter. From the File menu, select New > Encounter. View Encounter Information

NextGen® Enterprise EHR enables you to quickly view the contents of an encounter for a selected patient on the Encounter Details window. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. Select an encounter and select the button to open the Encounter Details window. Select the respective link to view any document, template, module, or report associated with the encounter.The selected patient item opens in the main window of NextGen® Enterprise EHR. Note: If an encounter is locked, you can open the patient item in read-only format. You can update information for a locked encounter by creating an addendum or custom encounter. Encounter Type Icons

Icons within the Encounter History tab provide a quick visual reference to determine the status and type of contents within an encounter or a case. Icon Name Description Appointment Indicates that the encounter for the patient is linked to an appointment. External Practice Indicates that the encounter was created at another practice within the Enterprise. Group Indicates a group encounter. Case Indicates a case. Addendum Indicates that there are images and/or documents added to a locked encounter. Chart Update Indicates an encounter used to add documentation or update a record within a patient chart that was not part of a billable service. For example, documentation of a telephone call or prescription refill. Sensitive Encounter Indicates a sensitive encounter. Encounter Options for Encounters

The Encounter Options button on the Encounters tab provides you quick access to configure the encounter. The Encounter Options comprises the following elements. Sensitivity Settings Lock encounter/Unlock encounter Delete Encounter Encounter Level Insurance Encounter Description / Remark Properties Case Note: Cases are hidden if the View Case Management Encounter Display check box is not selected in the user or practice preferences. Copy Virtual Visit URL Note: Copy Virtual Visit URL is hidden when Virtual Visit is not enabled for the selected encounter. Sensitive Encounters You can mark an encounter as sensitive.You can mark an encounter as no longer sensitive. Lock an Encounter You can lock an encounter to prevent any changes to a patient encounter. Unlock an Encounter You can unlock an encounter to allow others to make changes. Unlock an Encounter

Before you begin Ensure that the Rights > Operations > Encounters > Unlock Patient Encounter in System Administrator is set to True and the necessary access rights are enabled. For more information, go to NextGen Healthcare Success Community, and download the latest System Administrator Guide forNextGen®Enterprise. You can unlock a previously locked encounter. After you have unlocked an encounter, you may lock it again at any time. Note: All encounters are automatically locked after the set time expires. The default time is 72 hours before an encounter is locked. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. On the Encounter History tab, select an encounter, select Encounter Options , and then select Unlock Encounter. The NextGen EHR Security Unlock Encounter window opens. Enter Encounter Remarks

Before you begin Ensure that the Remarks check box is selected in the user-level settings to enable the description/remarks option on the Encounter History tab. You can enter the description or remarks for a patient from the encounter menu options on the Encounter History tab. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. On the Encounter History tab, select an encounter, select Encounter Options, and then select Encounter Description/Remark.The Encounter Description / Remark window opens. Enter the remark. Select OK.The remark appears on the Encounter History tab and the Encounter Maintenance window.
