Scheduling Group Appointments

You can schedule a single appointment for patients within a patient group. For example, to schedule a counseling session for a patient group on Wednesday at 11:00 AM, you can schedule a single group appointment, rather than scheduling separate appointments for each patient for the same slot. When you schedule and save a group appointment, an individual appointment is created for each patient in the group, and all appointments are displayed in the same time slot in the appointment book. Each individual appointment has a unique appointment ID and a common Group appointment ID in the database. Note: Due to the nature of group appointments, conflicts related to overbooking do not apply when an appointment is scheduled. Additionally, you cannot use event chains at this time. Group Scheduling Reports

Reports in NextGen® Enterprise PM can be generated to include information related to Patient Groups, Group Appointments and Group Encounters. The Patient Groups report lists groups that have been created in either NextGen® Enterprise EHR or NextGen® Enterprise PM, including all patients added to or removed from each group. By default, this report is sorted by patient group name. For more information, go to the NextGen Healthcare Success Community and download the Reports User Guide for NextGen® Enterprise PM . In addition to the Patient Groups report, columns are available on other reports as listed below. These columns can also be used with the Filter 2, Sorting and Totals report filter options. Checking In Group Appointments

When a group encounter is created prior to check-in to create the individual encounters for each member in a patient group, the appropriate encounter can be linked to each patient's appointment during the check-in process. Patient Groups

A Patient Group is a set of patients that have services rendered together in a group setting. For example, several patients meet on Wednesdays for a group counseling session. A patient group can be created to include those patients, and then the patient group can be used when scheduling appointments and creating encounters for the group. Add a Member to an Existing Group Encounter

You can add a member to an existing group encounter if needed. For example, a group encounter was already created from a group appointment for all patients that were marked as kept, and then another patient arrives for the appointment. You can add that patient to the existing group encounter. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, select to select the appointment for the member to be added to the group encounter. Select Open Menu and then select Add to Existing Group Enc. An individual encounter is created for the member, the encounter is linked to the member's appointment, and the encounter number appears in the Associated Member Appointments section of the Edit Group Appointment window. Creating Group Encounters

In NextGen® Enterprise PM, you can create group encounters in the following ways: Create a Group Encounter for Kept Members This enables you to create a group encounter for patients in a group appointment whose individual member appointments have been marked as kept. An encounter is created for each kept member and automatically linked to their kept appointment. An encounter is not created for patients in the group appointment whose individual member appointments have not been marked as kept. Create a Group Encounter for Scheduled Members This enables you to create a group encounter for all patients in a group appointment, regardless of whether their individual member appointments have been marked as kept.
