Include Non-Members of a Patient Group to Previous Group Encounters

Before you begin To access this feature, you must have the permission to add patient encounters. If a non-member of a patient group is a participant of a group encounter that has already been checked-in, you can add the participant member to the group encounter. For example, assume that a session on Anger Management (a group encounter) was attended by members of the Anger Management patient group. John Doe is a member of the Behavioural Health patient group, but a non-member of the Anger Management group. Out of interest, he has participated in the Anger Management session. In such a scenario, you can record John's participation by adding him only to the group encounter without adding him to the Anger Management patient group. Open the appointment book. Select Patient Group on the toolbar. The Patient Group Search window opens. Search for and open the patient group. The Patient Group window opens. Lookup Encounters by Patient Group

You can use the Encounter Lookup window to search for encounters for patients in a specific patient group. To access the Encounter Lookup window, do one of the following: From the main toolbar, select Encounter. From the Tasks menu, select Lookup and then Encounters. The Encounter Lookup window opens. Enter appointment lookup search criteria to find the desired encounters. Multiple parameters can be used. For example, select a Bill Status, Billable Date Range, Rendering Physician, and Service Location. In the Patient Group field, do one of the following to further limit the search results to include only encounters for patients in a specific group: Select a group name from the drop-down list. Select the flashlight button to use the Patient Group Search window to search and select a group name. Note: Expired, hidden and inactive groups are not listed in the Patient Group field. Add a Member to an Existing Group Encounter

You can add a member to an existing group encounter if needed. For example, a group encounter was already created from a group appointment for all patients that were marked as kept, and then another patient arrives for the appointment. You can add that patient to the existing group encounter. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, select to select the appointment for the member to be added to the group encounter. Select Open Menu and then select Add to Existing Group Enc. An individual encounter is created for the member, the encounter is linked to the member's appointment, and the encounter number appears in the Associated Member Appointments section of the Edit Group Appointment window. View Group Encounters in the Patient Chart

In the Patient Chart, encounters that were created from a group encounter can be identified by their associated Patient Group Information. Access the Patient Chart. Select the Encounters tab and then the General sub-tab. From the Encounters list, select an encounter that was created from a group encounter. Group Encounters

A Group Encounter is a way to create encounters for all members in a patient group at the same time. For example, a group appointment was scheduled for a patient group on Wednesday at 11:00 AM for a counseling session. Rather than creating a separate encounter for each patient at check-in, a single group encounter can be created for the patient group prior to check-in. When a group encounter is created, an individual encounter is created for each member in the patient group, and all encounters have the same Billable Date, Service Location and Rendering Provider. Each encounter is assigned a unique Encounter Number and all encounters are associated with the same Group Encounter ID in the database.
