Associate the Existing Group Encounter to Scheduled Members

Before you begin To associate the group encounter to the members, group encounters for the patient group must be created. You can link the existing group encounter to a group appointment when you check in a group appointment through the Available Group Encounters window. Open NextGen® Enterprise PM. On the main toolbar, select ApptBook. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select the group. Select the individual appointment. To associate all the scheduled members to available group encounter, right-click the selected appointment, and then select Checkin/Create Encounter > Group Appointment > All Scheduled Members. The Available Group Encounters window opens. In Available Group Encounters, do one of the following: Select the available group encounter and select Select. To create a new group encounter, select Cancel The existing group encounter is associated to all scheduled members of the patient group and encounter numbers are created and appear on the Edit

Add a Member to an Existing Group Encounter

You can add a member to an existing group encounter if needed. For example, a group encounter was already created from a group appointment for all patients that were marked as kept, and then another patient arrives for the appointment. You can add that patient to the existing group encounter. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, select to select the appointment for the member to be added to the group encounter. Select Open Menu and then select Add to Existing Group Enc. An individual encounter is created for the member, the encounter is linked to the member's appointment, and the encounter number appears in the Associated Member Appointments section of the Edit Group Appointment window. Create a Group Encounter for Kept Members

Open NextGen® Enterprise PM. From the main toolbar, select ApptBook. In the Daily, Weekly, Weekly Schedule, or Multi-View, right-click an individual appointment scheduled as part of a group appointment. Select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, verify appropriate individual appointments are marked as Kept. Select open menu , and then select Create Group Enc for Kept Members. Note: This option is not available if a group encounter already exists for a group appointment The Add Group Encounter window opens. The details of a group appointment are filled in the Patient Group, Billable Date, Billable Time, and Service Location fields and cannot be modified. Note: In the Practice Preference window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. Create a Group Encounter for a Patient Group

You can use this procedure to create a group encounter for all members in a patient group. An encounter is created for each member in the group and you can manually link the encounter to each patient's appointment during the check-in process. Open NextGen® Enterprise PM. From Tasks, select Create Group Encounter. The Add Group Encounter window opens. In the Patient Group field, do one of the following. This field is required. To create the group encounter for an existing patient group, select the group from the drop-down list. To create the group encounter for a new patient group, select Open Menu and then select New Group. To create the group encounter for an existing patient group that needs modifications, select the group from the drop-down list, and then select Open Menu and select Open Existing Group. Create a Group Encounter in NextGen® Enterprise EHR

You can use this procedure to create a group encounter for all patients in a patient group. An individual encounter is created for each member in the patient group. Access NextGen® Enterprise EHR. From the main toolbar, select a Service Location and Rendering Provider for the group encounter. From the File menu, select New and then Group Encounter. The New Group Encounter window opens. The Please choose a patient group for the new encounter field defaults to the first group in the list. To create the group encounter for an existing patient group, select the group from the drop-down list or do the following: Select the Ellipsis button to open the Patient Group Search window. Enter Search Criteria and then select Find. In the Matching Records section, double-click to select the group.
