Creating Group Encounters

In NextGen® Enterprise PM, you can create group encounters in the following ways: Create a Group Encounter for Kept Members This enables you to create a group encounter for patients in a group appointment whose individual member appointments have been marked as kept. An encounter is created for each kept member and automatically linked to their kept appointment. An encounter is not created for patients in the group appointment whose individual member appointments have not been marked as kept. Create a Group Encounter for Scheduled Members This enables you to create a group encounter for all patients in a group appointment, regardless of whether their individual member appointments have been marked as kept. An encounter is created for each scheduled member and automatically linked to their appointment, and all member appointments are marked as kept. Add a Member to an Existing Group Encounter

You can add a member to an existing group encounter if needed. For example, a group encounter was already created from a group appointment for all patients that were marked as kept, and then another patient arrives for the appointment. You can add that patient to the existing group encounter. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, select to select the appointment for the member to be added to the group encounter. Select Open Menu and then select Add to Existing Group Enc. An individual encounter is created for the member, the encounter is linked to the member's appointment, and the encounter number appears in the Associated Member Appointments section of the Edit Group Appointment window. Before you begin To associate the group encounter to the members, group encounters for the patient group must be created. You can link the existing group encounter to a group appointment when you check in a group appointment through the Available Group Encounters window. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule, or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. To associate all the scheduled members to available group encounter, right-click the selected appointment and do one of the following: Select Open > Group AppointmentOn Edit Group Appointment window, select open menu and then select Create Group Enc for Scheduled Members. Select Checkin/Create Encounter > Group Appointment > All Scheduled Members. The Available Group Encounters window opens.
