Create a Group Encounter for a Patient Group
You can use this procedure to create a group encounter for all members in a patient group. An encounter is created for each member in the group and you can manually link the encounter to each patient's appointment during the check-in process.
- Open NextGen® Enterprise PM.
- From Tasks, select Create Group Encounter.
The Add Group Encounter window opens.
- In the Patient Group field, do one of the following. This field is required.
- To create the group encounter for an existing patient group, select the group from the drop-down list.
- To create the group encounter for a new patient group, select Open Menu
and then select New Group.
- To create the group encounter for an existing patient group that needs modifications, select the group from the drop-down list, and then select Open Menu and select Open Existing Group.
Note: In the Practice Preference window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. If you clear this option, new encounters that you create from NextGen® Enterprise PM will not have insurance added from the previous encounter and when you save the new encounter it will default to self-pay.
The Default previous payer(s) to encounters created in PM option is only for encounters created in NextGen® Enterprise PM.
- In the Billable Date field, enter the group encounter date. This field is required. The date defaults to one of the following and can be modified if needed:
- The current system date (today).
- The Service Date selected in Session Settings.
- In the Billable Time field, enter the encounter time.
Note: If you have not entered the time, the Billable Time field is filled from the database server time.
- In the Patient Type, select a type for the group encounter.
Note: This field is required if Require Patient Type is enabled in Encounters in Practice Preferences.
- In the Service Location, select a location for the group encounter. This field is required.
Note: The field refers to the Service Location selected in Sessions Settings and can be modified if needed.
- In the Rendering Physician field, select a provider for the group encounter.
Note: This field is required if Require Rendering Physician is enabled in Encounters of Practice Preferences.
- To save changes and close the window, select OK.
If you did not complete all required fields, a prompt appears informing you that all fields with red labels require an entry. Select OK on the prompt and then complete all required fields.
If the patient group you selected has no members, a prompt appears informing you to add members to the group. Select OK on the prompt, then select Open Menu and select Open Existing Group, and then add members on the Members tab in the Patient Group window.
If you completed all required fields and the patient group has one or members, a prompt appears informing you that a group encounter will be created.
- To continue and create the group encounter, select Yes.
An individual encounter is created for each member in the patient group.
