You can use this procedure to create a group encounter for members in a patient group. An encounter is created for each member in the group and you can manually link the encounter to each patient's appointment during the check-in process.
Open NextGen® Enterprise PM.
From Tasks, select Create Group Encounter.
The Add Group Encounter window opens.
In the Patient Group field, do one of the following:
To create the group encounter for an existing patient group, select group from the list.
To create the group encounter for a new patient group, select open menu , and then select New Group.
To create the group encounter for an existing patient group that needs modifications, select the group from list, and then select open menu , and then select Open Existing Group.
Note: In the Practice Preference window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. If you clear this option, new encounters you create from NextGen® Enterprise PM do not have insurance added from the previous encounter, and when you save the new encounter, it defaults to self-pay.
The Default previous payer(s) to encounters created in PM option is only for encounters created in NextGen® Enterprise PM.
Enter Billable Date and Billable Time.
Note: If you have not entered the time, the Billable Time field is filled from the database server time.
Select Patient Type.
Note:Patient Type field is required if Require Patient Type is turned on in Encounters in Practice Preferences.
Select Service Location.
Note:Service Location field refers to the Service Location selected in Sessions Settings and can be modified.
Select Rendering Physician.
Note:Rendering Physician field is required if Require Rendering Physician is turned on in Encounters of Practice Preferences.
Select OK.
If you did not complete all required fields, a prompt appears informing you that fields with red labels require an entry. You can select OK on the prompt and then complete required fields.
Select Yes.
An individual encounter is created for each member in the patient group.
Note: When you schedule a group appointment, each member receives an individual appointment. The insurance attached to each member’s appointment automatically transfers to the encounter during check-in. If a member’s group appointment is marked as self-pay, the encounter created from that appointment is also marked as self-pay. Important system events, such as automatic insurance attachment or self-pay status, are captured to ensure accurate tracking and billing for each group member.
