Create Group Encounters in NextGen® Enterprise EHR
You can use this procedure to create a group encounter for patients in a patient group. An individual encounter is created for each member in the patient group.
- Open NextGen® Enterprise EHR.
- From the main toolbar, select a Service Location and Rendering Provider for the group encounter.
- From the File menu, select New > Group Encounter.
The New Group Encounter window opens.
- To create the group encounter for an existing patient group, select the group from the list or do the following:
- Select the Ellipsis
button to open the Patient Group Search window.
- Enter search criteria, and then select Find.
- In the Matching Records section, double-click to select the group.
- Select the Ellipsis
- To create the group encounter for a new patient group, do the following:
- Select the Ellipsis button.
The Patient Group Search window opens.
- Enter search criteria, and then select Find.
- In the Matching Records section, confirm the group does not already exist.
- Select New.
The Patient Group window opens.
- Add the new group, and then select OK.
The new group appears in the Please choose a patient group for the new encounter field. - Select the Ellipsis button.
- To create the group encounter for an existing patient group that needs modifications, do the following:
- Select the Ellipsis button to open the Patient Group Search window.
- Enter Search Criteria and then select Find.
- In the Matching Records section, select to highlight the group.
- Select Open Menu
and select Open to open the Patient Group window.
- Make modifications to the group as needed and then select OK.
The modified group appears in the Please choose a patient group for the new encounter field. - To create a group encounter for the selected group, select OK.
An individual encounter is created for each member in the patient group.Note: When you schedule a group appointment, each member receives an individual appointment. The insurance attached to each member’s appointment automatically transfers to the encounter during check-in. If a member’s group appointment is marked as self-pay, the encounter created from that appointment is also marked as self-pay. Important system events, such as automatic insurance attachment or self-pay status, are captured to ensure accurate tracking and billing for each group member.
