Create a Group Encounter for Scheduled Members

Open NextGen® Enterprise PM. From the main toolbar, select ApptBook. In the Daily, Weekly, Weekly Schedule, or Multi-View, select an individual appointment scheduled as part of a group appointment. Select Open > Group Appointment. The Edit Group Appointment window opens. Select open menu , and then select Create Group Enc for Scheduled Members. This option is not available if a group encounter already exists for the group appointment. The Add Group Encounter window opens. The details of a group appointment are filled in the Patient Group, Billable Date, Billable Time, and Service Location fields and cannot be modified. Note: In the Practice Preference window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. If you clear this option, new encounters you create from NextGen® Enterprise PM do not have insurance added from the previous encounter, and when you save the new encounter, it defaults to self-pay. Open NextGen® Enterprise PM. From the main toolbar, select ApptBook. In the Daily, Weekly, Weekly Schedule, or Multi-View, right-click an individual appointment scheduled as part of a group appointment. Select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, verify appropriate individual appointments are marked as Kept. Select open menu , and then select Create Group Enc for Kept Members. Note: This option is not available if a group encounter already exists for a group appointment The Add Group Encounter window opens. The details of a group appointment are filled in the Patient Group, Billable Date, Billable Time, and Service Location fields and cannot be modified. Create a Group Encounter for a Patient Group

You can use this procedure to create a group encounter for all members in a patient group. An encounter is created for each member in the group and you can manually link the encounter to each patient's appointment during the check-in process. Open NextGen® Enterprise PM. From Tasks, select Create Group Encounter. The Add Group Encounter window opens. In the Patient Group field, do one of the following. This field is required. To create the group encounter for an existing patient group, select the group from the drop-down list. To create the group encounter for a new patient group, select Open Menu and then select New Group. To create the group encounter for an existing patient group that needs modifications, select the group from the drop-down list, and then select Open Menu and select Open Existing Group. Creating Group Encounters

In NextGen® Enterprise PM, you can create group encounters in the following ways: Create a Group Encounter for Kept Members This enables you to create a group encounter for patients in a group appointment whose individual member appointments have been marked as kept. An encounter is created for each kept member and automatically linked to their kept appointment. An encounter is not created for patients in the group appointment whose individual member appointments have not been marked as kept. Create a Group Encounter for Scheduled Members This enables you to create a group encounter for all patients in a group appointment, regardless of whether their individual member appointments have been marked as kept. Create a Group Encounter

You can group several patients into a group encounter. Note: To create a group encounter, make sure that at least one patient group has been created. In NextGen® Enterprise EHR, from the File menu, select New > Group Encounter. The New Group Encounter window opens. Select a patient group. Note: By default, NextGen® Enterprise EHR creates all encounters as "clinical" only types. If you plan to add any medical information that requires billing data to be sent to NextGen® Enterprise PM, edit the encounter type to "clinical" and "billable" in the Encounter Maintenance window (accessed from the View menu, Properties) . Group encounters automatically add encounter-level Insurance to all patients who are members of the selected patient group. Select OK. A new group encounter with the current date is added in the encounter window. You can add any templates, documents, images, or other patient items to this group encounter. Modify a Patient Group

To modify a patient group in NextGen® Enterprise PM or NextGen® Enterprise EHR, do the following: Access Patient Groups. The Patient Group Search window opens. Search for a Patient Group. In the Matching Records section of the Patient Group Search window, select a group to be modified and then do one of the following: Select Open. Select Open Menu and select Open. Right-click and select Open. The Patient Group window opens. On the General tab, modify general information for the group. Select the Members tab to do any of the following: Add members to the group. Access for a member in the group. Remove members from the group. Transfer members from the group to another group. Add a member to an existing group appointment. Select the Appointments tab to view future group appointments scheduled for the group. To save changes and close the window, select OK.
