Appointment Book

The Appointment Book window in NextGen® Enterprise PM provides an overview of the appointment schedule for the various resources and locations within the practice. The appointment book is used to schedule, reschedule, and cancel patient appointments. You can view appointments for: An individual resource for a specific day, week, or month. Multiple resources at the same time for a specific day. To access Appointment Book in NextGen® Enterprise PM, do one of the following: From the main toolbar, select the ApptBook button. Appointment Reminder Letters

Appointment Reminder letters are the mechanism used in NextGen® Enterprise PM to remind patients of their upcoming scheduled appointment. The type of letter generated is determined by the setup in File Maintenance. Letters are created in the Letters master file for each practice. The letters are then linked to specific Locations, Resources or Events in the Appointment Reminders master file. A Default Appt Reminder letter is selected in Practice Preferences > Appt Scheduling. You can print a single appointment reminder letter for an individual patient on demand, or you can print multiple letters in a batch for all patients that qualify for a letter. Note: Appointment reminder letters can be created in File Maintenance in multiple languages and then printed in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics. Searching for Appointments

In NextGen® Enterprise PM, you can use the Appointment Lookup window to search for existing appointments. While scheduling appointments, you can search for the available timeslots in the following locations: The Appointment Search Ahead feature on the Appointment Book window. Task > Appointment Search Ahead. Search from the Appointment Lookup Window You can search for the appointments for a patient to edit, delete, cancel appointments, and so on. Appointment Search Ahead You can search for available time slots for an event, a resource, and a location when you schedule appointments. Recall Plans

In cases where a patient requires a future follow-up appointment and that appointment cannot be scheduled now, a Recall Plan can be entered for the patient instead. For example, a patient that was seen by a provider today to have a specific test performed may need to return next year to have the test performed again. Recalls are used in NextGen® Enterprise PM as a mechanism of sending one or more letters to the patient reminding them that they are due to return to the practice for a particular type of appointment. Recall Plans are set up in File Maintenance > PM Practice Master Files. The set up for each recall plan defines the number of days within which patients are expected to return. The return event, resource and location can be defined for each recall plan, as well as the number and frequency of reminder letters to be sent to patients. Group Scheduling

Group Scheduling can be used by practices that render services in a group setting. For example, a clinic may provide education, support, counseling or therapy sessions to various groups of patients. When Group Scheduling is enabled for a practice, you can create a group that includes specific patients. Then a single group appointment can be scheduled that automatically creates a separate appointment for each patient in that group. In addition, at check-in a single group encounter can be created that automatically generates separate encounters for each patient in the group.
