You can schedule an appointment for a resource at a particular time and date.
- Open NextGen® Enterprise PM.
- From the main toolbar, select the ApptBook button.
The
Appointment Book window opens.
Note: For a better response time, open the
Appointment Scheduling Preferences by selecting

and then select
Only show my preferred resources in the
Resources tab.
- In the Daily, Weekly Schedule or Multi-View tabs, select a resource, a date, and a time slot to schedule an appointment.
- To add an appointment, do one of the following:
- From the Appointment Book toolbar, select the Add Appt
button.
- Right-click the time slot and, select New from the menu.
- Double-click the time slot.
The
Add Appointment window opens.
- Enter the details for the mandatory fields in the Add Appointment window to schedule an appointment.
- To select and link a person or patient to the appointment, select the open menu
button in the upper-right side of the Add Appointment window and select one of the following:
- Access Active Patient: You can select this option to link the Active Patient to the new appointment.
- Access Previous Patient: You can select this option to link any of the five most recently accessed people or patients to the new appointment.
- Lookup: You can select this option to open the People Lookup window. In the People Lookup window, you can search and select a person or patient to link to the new appointment.
- In the People Lookup window, do the following:
- Enter the Search Criteria to find the desired person or patient, and then select Find.
- In the Matching Records list, double-click to select the person or patient to link to the appointment.
- If the person or patient for the appointment is not listed, select New and complete the information on the Add Person Information window.
- Clear Patient: You can select this option to remove the patient from the appointment.
- Set Active Patient: You can select this option to set the selected patient as active patient.
- View Chart: You can select this option to open the patient's chart.
- After a person or patient is linked to the appointment, enter all the patient information fields in the Patient tab of the Add Appointment window.
- Rendering Physician: This field automatically gets filled if a rendering provider is linked to the selected resource in scheduling administration.
If the rendering provider is not linked to the resource, then select a rendering physician for the appointment from the list of rendering providers, or select the lookup

button to search and select a rendering provider from the
Provider Lookup window.
- Referring Physician: You can select a referring physician for the appointment from the list of referring providers or select the lookup
button to search and select a referring provider from the Provider Lookup window.
- Primary Care Provider: The primary care provider that is selected in the Add Patient Information or Modify Patient Information window appears.
- Encounter Number and Date: You can attach an existing encounter to the new appointment.
- Select the open menu
button and select Open Existing Encounters.
The Encounter Lookup window opens with the list of encounters for the patient.
- Double-click an encounter to attach it to the appointment, if applicable.
- Case Description and Date: You can attach a case to the new appointment, select the open menu
button and select New to create a case, or select Open Existing Cases to select an existing case.
- Select OK to save changes and close the window.
If there is an appointment conflict, then the
Scheduling Conflicts window opens.
- Do one of the following:
- Select Cancel to return to the Add Appointment window and select a different time slot for the appointment.
- Select OK to save the appointment despite the conflict.
The
Appointment Confirmation window opens.
Note: The Appointment Confirmation window opens, if the you select the Show appointment confirmation after scheduling appointment option in the General tab of the Appointment Scheduling Preferences window.
- Do one of the following:
- Select Print to print any of the following from the Appointment Confirmation window.
- Appointment Reminder Letter
- Fee Ticket
- Form Template
- Label Template
- Patient Data Sheet
- Patient Data Sheet Detail
- Select Close to complete the appointment.
The new appointment appears in the Appointment Book window.
