Add Appointment Fields

The following table describes the fields that are available in the Add Appointment window.
FieldDescription
LastThese fields default to the date and time from the selected time slot.
Event/Event ChainYou can select an event or an event chain for the appointment. This is a mandatory field.

If the select the Only show category specific events for appointment start time/resource selected option in the General tab of the Appointment Scheduling Preferences window, then only those events included in the category assigned to the time slot are listed and available for selection.

To list all available events, regardless of the category assigned to the time slot, select the open menu button and select Show all Events.

ResourcesThe resource defaults from the selected time slot. If needed, you can manually select a different resource or additional resource for the appointment.
When you select a resource, the default duration changes for the event:
  • If the selected resource has a duration override defined. For example, when Dr. Adams is selected, the duration time for the event automatically changes from the default of 15 minutes to 30 minutes.
  • If more than one of the selected resources has a duration override defined. In this case, the duration time for the event changes to reflect the resource with the greatest duration time. For example, when Dr. Adams and Exam Room are selected, the duration time for the event automatically changes from the default of 15 minutes to 45 minutes, which is the greater duration override for the two resources selected.
Service LocationThe service location defaults from the selected time slot. If needed, you can manually select a different location for the appointment. This is a mandatory field.
DescriptionThis field is normally left blank when scheduling a new appointment. When you select a patient, the patient’s name automatically appears in this field. Any text entered in this field appears on the appointment schedule.
DetailsYou can enter more details about the appointment if needed.
Procedure with ResidentYou must select this option to specify that the appointment is for a resident.
Appointment KeptWhen you schedule an appointment this option is normally left blank.

This option is automatically selected when the appointment is checked in through the autoflow process.

For non-patient appointments, you can select this option as needed while scheduling the appointment.

ConfirmedWhen you schedule an appointment this option is normally left blank. You can select it after the patient confirms the appointment.
CancelledWhen you schedule a new appointment this option does not appear. It appears in the Edit Appointment window after you schedule the appointment. You can select this option to cancel the scheduled appointment.
ReasonWhen you schedule a new appointment this option does not appear. It appears in the Edit Appointment window after you schedule the appointment. You can provide the reason for canceling the appointment.
User-Defined Fields 1 - 8You have eight user defined fields that appear in the Add Appointment window. The User Defined fields appear if they are created and labeled in the Appt Scheduling tab of the Practice Preferences window.
