Groups

A user group is a set of users who share similar roles within your organization. Every user must be a member of at least one group. Groups keep users organized and make the maintenance of user rights and permissions easier. Rights and permissions must be assigned at the group level and they apply to all users within the group. There is no limit to the number of groups you can create and no limit to the number of groups to which a user can belong. Note: When a user is in multiple groups within one practice and each group has different rights, the user has all the rights available to those groups when he or she logs on. Reactivate Users

A user becomes automatically deactivated when he or she has not logged onto any of the NextGen® Enterprise Healthcare applications in a specified period of time. The user cannot log on again until he or she is reactivated. Reactivated users return to the groups that they were originally assigned to. Select the inactive user. On the Edit menu, select Reactivate User. For information about setting the deactivate period, see Inactive User Options section in Password Requirements. Restore a Manually Deactivated User

You can restore a manually deactivated user. Restored users return to the groups that they were originally assigned to. From the Deactivated Users bin, select a user to restore. When you select the user, the text "User was manually deactivated" displays in red at the top of the user information. Right-click the user, then select Restore. The user is restored and assigned to all of the groups he or she was assigned to before the user was deactivated. Parent topic: Organizing Your Internal Structure

Find Users

You can locate a user in a specific security group within a practice. On the Edit menu, select Find. The Find window appears. Under Find By, select whether you want to search by last name, first name, or user ID. The name of the field below this criteria updates to match your selection. Enter the search criteria in the field. Select Find Now. The search results list the matching user names along with the practices and the security groups that they are in. If users are deactivated, their names display along with the practices and security groups that they last belonged to. If the user you are searching for is not listed, select New Search, and then repeat the previous steps for entering new criteria. In the User list, do one of the following: Double-click the user you want to locate. Select the user you want to locate, then select OK. Remove a User from a Group

Before removing a user from a group, make sure that the user is assigned to at least one other group. A user must be assigned to at least one group at all times. Note: You cannot remove a user from all groups when multiple users are updating group membership at the same time. To remove a user, select either the group you want to remove the user from or select the user you want to remove. If you... Then... Reassigning Pending PAQ Items and Tasks of Deactivated Users

When you deactivate a user in System Administrator, you can reassign their pending PAQ items and tasks to other users. System Administrator enables you to view a list of available delegates and assign the pending items and tasks without having to exit the application. In System Administrator, you can select the user that you want to deactivate, and after performing a delegate check, you can view the list of pending PAQ items and tasks to be reassigned. Notes:Before deactivating a user, the pending PAQ items and NextGen Enterprise tasks must be reassigned to an active user. If the list of pending PAQ items inNextGen® Enterprise EHRincludes multi-user sign off PAQ items (multi-user sign off PAQ items are listed as pending), then more pending PAQ items are listed inNextGen® Enterprise EHRthan in System Administrator.
