Groups

A user group is a set of users who share similar roles within your organization. Every user must be a member of at least one group. Groups keep users organized and make the maintenance of user rights and permissions easier. Rights and permissions must be assigned at the group level and they apply to all users within the group. There is no limit to the number of groups you can create and no limit to the number of groups to which a user can belong. Note: When a user is in multiple groups within one practice and each group has different rights, the user has all the rights available to those groups when he or she logs on. Restore a Manually Deactivated User

You can restore a manually deactivated user. Restored users return to the groups that they were originally assigned to. From the Deactivated Users bin, select a user to restore. When you select the user, the text "User was manually deactivated" displays in red at the top of the user information. Right-click the user, then select Restore. The user is restored and assigned to all of the groups he or she was assigned to before the user was deactivated. Parent topic: Organizing Your Internal Structure

Find Users

You can locate a user in a specific security group within a practice. On the Edit menu, select Find. The Find window appears. Under Find By, select whether you want to search by last name, first name, or user ID. The name of the field below this criteria updates to match your selection. Enter the search criteria in the field. Select Find Now. The search results list the matching user names along with the practices and the security groups that they are in. If users are deactivated, their names display along with the practices and security groups that they last belonged to. If the user you are searching for is not listed, select New Search, and then repeat the previous steps for entering new criteria. In the User list, do one of the following: Double-click the user you want to locate. Select the user you want to locate, then select OK. Remove and Delete Users

You can remove or deactivate a user, but you cannot permanently remove users from the system. Removing a user means removing the user from one group while he or she remains a member of at least one other group. Deactivating a user means removing the user from all groups, practices, and enterprises. You can still view deactivated users and restore them to the groups they were last assigned to. Reactivate Users

A user becomes automatically deactivated when he or she has not logged onto any of the NextGen® Enterprise Healthcare applications in a specified period of time. The user cannot log on again until he or she is reactivated. Reactivated users return to the groups that they were originally assigned to. Select the inactive user. Deactivate a User

Deactivating a user removes the user from all groups that he or she is a member of. There are three methods for deactivating users: You can manually deactivate users. Users become automatically deactivated after a specified number of failed login attempts. Users become automatically deactivated when he or she has not logged onto any of the NextGen applications in a specified period of time. To manually deactivate a user, Select the user you want to deactivate, right-click the user, then select Deactivate. From the main menu, select Edit, then select Deactivate A message warns you that if you deactivate the user, the user is also deactivated in all other user groups that he or she is assigned to. Select Yes.The user is removed from all groups that he or she is a member of within all the <Companies_Enterprises> and is moved into the Deactivated Users bin.
