Correct an ERROR

You must correct all ERROR entries before you can send a vaccine to main inventory for use. Note: ERROR appears in the expiration date column when a drug with an expired date is loaded. Select the vaccine in the grid. The fields below the grid show the information for the vaccine. Enter the correct data into all fields that show ERROR. Select Update to save the changes to the grid. If the updates are valid, the Send to Main column updates to Y (yes) and the vaccine can be sent to the main inventory. Parent topic: Manage Immunization Information

Delete a Vaccine

Any vaccine can be removed from the grid so that it is not sent over to the main inventory. Select the entry in the grid. Select Delete Row. The entry is removed. Parent topic: Manage Immunization Information

Manage Immunization Information

The application does a check to make sure no information is missing and the medication is not expired. It also checks for duplicate entries. If information is missing or a medication is expired there will be an N (no) in the Send to Main column and an entry of ERROR in the missing field. Load Immunizations from a CSV File

To load a CSV file with the immunizations, it must be formatted in the file the same way the grid is laid out (Manufacturer, Inventory Description, CPT code, NDC - with no dashes, Lot number, Quantity, Expiration Date, Location, Sub-location (if enabled), Source, Multi-Dose y/n). If you use the Create New Import File button to create the file (see Create New Import File), the file will be in the correct order and format. Enter the file path into the CSV File Path field above the immunizations grid. Selectt Load. The file entries are loaded into the grid. Missing or invalid data appears as an ERROR in the field. Once the immunizations are in the grid you can do one of the following: Correct any ERRORS or unintended duplicates following the steps in the Manage Immunization Information section of this chapter. Enter Historical Immunizations

You can enter a patient's historical immunizations manually. On the immunizations tab, select Historical and select the Past Entry tab. To display all of the patient's past immunizations, select Quick Entry. Note: For existing patients, the system displays all immunizations that have been administered in the past and any immunizations that are outstanding (according to your practice's Vaccine Schedule). To display a patient's past immunizations by a certain grouping, select Pediatrics, Adult, or By Category. To search for a patient's past Immunizations that are not in the Vaccine Inventory, in the Select Past Vaccines to Add to Patient's Record section, select Search, for example rabies. In the Selected Vaccine Details section, enter details for the past Immunizations that is required for the Registry, for example, Date Source and any pertinent comments. Display the Vaccine Details and Provide the Immunizations Information

After selecting the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for <patient name> window opens (on the Vaccine Details tab). To administer the immunization, select the vaccine from the vaccine list. Select a Registry from the list, if necessary. Select the Lot Number from the list or enter it manually, if necessary. The vaccine data defaults from the Vaccine Inventory, including the NDC ID if it exists. Enter any other information for the selected Immunizations order, for example, if the patient received counseling, (Counseled) or if the Immunizations order requires Consent. If you have provided Immunizations information, the system updates the status to Administered and required fields display as Red. The system also displays the Billing Code and Admin Code for the selected vaccines.
