Create New Import File

Select the Create New Import File button. The Crystal Report Viewer opens and displays a simple report containing only column headers. Select the Export Report button in the menu bar to open a File Explorer window. Navigate to the file folder you created under the Create an Import Folder Location instructions. Select the down arrow in the Save as type field and select Microsoft Excel (97-2003) (*.xls). Enter the desired name in the File name field. Select Save. Using the Spreadsheet

Open the MS Excel Spreadsheet. Note: Do not change the order of the columns, or insert new columns into the spreadsheet. Doing so will make the sheet unable to be imported. Right-click the column headers for the CPT and NDC columns and select Format Cells to set the cell format to Text to prevent MS Excel from stripping leading zeros. Enter the manufacturer name into the Manufacturer column of the spreadsheet. Enter the drug description into the Inventory Description column of the spreadsheet. Enter a valid CPT code that does not exceed 13 characters into the CPT column of the spreadsheet. Enter the 11-digit (5-4-2 format) NDC into the NDC column of the spreadsheet. NDC must be 11 digits. Enter the lot number into the Lot column of the spreadsheet. Enter a whole number into the QTY column of the spreadsheet. Enter the expiration date into the Exp. Date column of the spreadsheet. CSV File Path Immunization Entry

To import immunization inventory information from spreadsheet as a tab delimited (.TXT) file, use the CSV File Path field and the Load button. The Create New Import File button creates a blank template with column headers in the correct order that you can export as an MS Excel file to create your inventory load spreadsheet. Once you have completed the spreadsheet, save it and enter its file path in theCSV File Path field and click Load to import the immunization inventory. You are not able to distinguish between private, VFC, or 340b source types until the immunizations are loaded into the system. The best practice is to load all of one source type at a time. Note: We recommend that you store the exported file in a location that the database server can access, such as the NextGen EMR folder, as described in the work flow below. Handling Duplicate Vaccine Entries

When there are two or more vaccines with the same lot number, expiration date, J-Code and NDC number in the Immunizations grid (either due to manual entry or through loading a CSV file), red text below the grid alerts you to the fact that you have duplicate records. If both entries are valid, leave them, and the application will combine the quantities when you click Send to Main. Otherwise, select one of the duplicate entries and click Delete Row. Configuring Immunizations

On the Immunizations Configuration template, you can add immunizations to your inventory. You can use the Immunizations Configuration template to add immunizations to the main inventory. You can also configure the administration codes for billing the COVID-19 vaccines. The First Databank drug database is used for storing immunizations. The following table describes the panels on the Immunizations Configuration template. Panel Description Immunization Inventory Set-up You can use this panel to add, update, and delete immunizations from the immunization grid, and send them to the main inventory. Correct an ERROR

You must correct all ERROR entries before you can send a vaccine to main inventory for use. Note: ERROR appears in the expiration date column when a drug with an expired date is loaded. Select the vaccine in the grid. The fields below the grid show the information for the vaccine. Enter the correct data into all fields that show ERROR. Select Update to save the changes to the grid. If the updates are valid, the Send to Main column updates to Y (yes) and the vaccine can be sent to the main inventory. Parent topic: Manage Immunization Information
