Load Immunizations from a CSV File

To load a CSV file with the immunizations, it must be formatted in the file the same way the grid is laid out (Manufacturer, Inventory Description, CPT code, NDC - with no dashes, Lot number, Quantity, Expiration Date, Location, Sub-location (if enabled), Source, Multi-Dose y/n). If you use the Create New Import File button to create the file (see Create New Import File), the file will be in the correct order and format. Enter the file path into the CSV File Path field above the immunizations grid. Selectt Load. The file entries are loaded into the grid. Missing or invalid data appears as an ERROR in the field. Once the immunizations are in the grid you can do one of the following: Correct any ERRORS or unintended duplicates following the steps in the Manage Immunization Information section of this chapter. Create an Import Folder Location

The best practice is to designate a folder location to save immunization inventory spreadsheets in. Open Windows File Explorer . Navigate to the NextGen Root folder or another location where you intend to store the immunization inventory spreadsheets. Create a new folder for the spreadsheet files. Configuring Immunizations

On the Immunizations Configuration template, you can add immunizations to your inventory. You can use the Immunizations Configuration template to add immunizations to the main inventory. You can also configure the administration codes for billing the COVID-19 vaccines. The First Databank drug database is used for storing immunizations. The following table describes the panels on the Immunizations Configuration template. Panel Description Immunization Inventory Set-up You can use this panel to add, update, and delete immunizations from the immunization grid, and send them to the main inventory. Using the Spreadsheet

Open the MS Excel Spreadsheet. Note: Do not change the order of the columns, or insert new columns into the spreadsheet. Doing so will make the sheet unable to be imported. Right-click the column headers for the CPT and NDC columns and select Format Cells to set the cell format to Text to prevent MS Excel from stripping leading zeros. Enter the manufacturer name into the Manufacturer column of the spreadsheet. Enter the drug description into the Inventory Description column of the spreadsheet. Enter a valid CPT code that does not exceed 13 characters into the CPT column of the spreadsheet. Enter the 11-digit (5-4-2 format) NDC into the NDC column of the spreadsheet. NDC must be 11 digits. Enter the lot number into the Lot column of the spreadsheet. Enter a whole number into the QTY column of the spreadsheet. Enter the expiration date into the Exp. Date column of the spreadsheet. Create New Import File

Select the Create New Import File button. The Crystal Report Viewer opens and displays a simple report containing only column headers. Select the Export Report button in the menu bar to open a File Explorer window. Navigate to the file folder you created under the Create an Import Folder Location instructions. Select the down arrow in the Save as type field and select Microsoft Excel (97-2003) (*.xls). Enter the desired name in the File name field. Select Save. Create Immunization Orders

You can use the Immunizations template to review immunizations for the patient and to create an immunization record. Open NextGen® Enterprise EHR. Open the Intake - Cardiology template. Click the Cardiac Orders panel. Click Immunizations. The Immunizations template opens. Click New. The Create New Immunization Order template opens. Click plus next to Select Diagnosis to attach a diagnosis to the vaccine. In the Select Vaccines section, click Search All to order vaccines. Note: Vaccines can be searched by vaccine name, CVX code, CPT®4 code, or CPT4 description. There is also an option to search all vaccines or only those within the inventory. The Search Vaccines window opens. Enter the vaccine name, CVX code, CPT4 code, or CPT4 description. Select the Search inventory only or Search all vaccines option. Click Find.
