Create New Import File

Select the Create New Import File button. The Crystal Report Viewer opens and displays a simple report containing only column headers. Select the Export Report button in the menu bar to open a File Explorer window. Navigate to the file folder you created under the Create an Import Folder Location instructions. Select the down arrow in the Save as type field and select Microsoft Excel (97-2003) (*.xls). Enter the desired name in the File name field. Select Save. Load Immunizations from a CSV File

To load a CSV file with the immunizations, it must be formatted in the file the same way the grid is laid out (Manufacturer, Inventory Description, CPT code, NDC - with no dashes, Lot number, Quantity, Expiration Date, Location, Sub-location (if enabled), Source, Multi-Dose y/n). If you use the Create New Import File button to create the file (see Create New Import File), the file will be in the correct order and format. Enter the file path into the CSV File Path field above the immunizations grid. Selectt Load. The file entries are loaded into the grid. Missing or invalid data appears as an ERROR in the field. Once the immunizations are in the grid you can do one of the following: Correct any ERRORS or unintended duplicates following the steps in the Manage Immunization Information section of this chapter. Using the Spreadsheet

Open the MS Excel Spreadsheet. Note: Do not change the order of the columns, or insert new columns into the spreadsheet. Doing so will make the sheet unable to be imported. Right-click the column headers for the CPT and NDC columns and select Format Cells to set the cell format to Text to prevent MS Excel from stripping leading zeros. Enter the manufacturer name into the Manufacturer column of the spreadsheet. Enter the drug description into the Inventory Description column of the spreadsheet. Enter a valid CPT code that does not exceed 13 characters into the CPT column of the spreadsheet. Enter the 11-digit (5-4-2 format) NDC into the NDC column of the spreadsheet. NDC must be 11 digits. Enter the lot number into the Lot column of the spreadsheet. Enter a whole number into the QTY column of the spreadsheet. Enter the expiration date into the Exp. Date column of the spreadsheet. Dates may be entered as YYYYMMDD or MM/DD/YYYY. YYYYMMDD is preferred. Enter the main location name into the

CSV File Path Immunization Entry

To import immunization inventory information from spreadsheet as a tab delimited (.TXT) file, use the CSV File Path field and the Load button. The Create New Import File button creates a blank template with column headers in the correct order that you can export as an MS Excel file to create your inventory load spreadsheet. Once you have completed the spreadsheet, save it and enter its file path in theCSV File Path field and click Load to import the immunization inventory. You are not able to distinguish between private, VFC, or 340b source types until the immunizations are loaded into the system. The best practice is to load all of one source type at a time. Note: We recommend that you store the exported file in a location that the database server can access, such as the NextGen EMR folder, as described in the work flow below. Select the Vaccine to Include in the Vaccine Inventory

To access the Vaccines Inventory List window in File Maintenance, select System, and then Vaccines Inventory. From the Vaccines Inventory List window, select the Open Menu button and select New to create a vaccine inventory entries. On the Vaccine Inventory window, on the Vaccines tab, select the vaccine from the CDC Vaccine List section. Note: The system updates the vaccines monthly when the Medication Update is run. Export the Inventory

Select the Mass Inventory Update button below the inventory grid. The Import/Export MEDics Inventory template opens. Create an import folder location. Note: We recommend saving this under the NextGen Root and creating a folder called MEDicsInventoryReport, in file path: \\[YOUR SERVER]\NextGenRoot\MEDicsInventoryReport. Enter that file path into the Import Folder Location field. Select the Export Report button. The Enter Parameter Values window opens. It has a list of available locations in the grid on the left and selected locations in the grid on the right. Move the locations for which you want to update the inventory, to the Selected Values grid. To move all locations, click the >> button between the grids To move specific locations, select them in the Available Values grid, and select the > button. To remove all locations from the Selected Values grid, select the Remove All button. To move specific locations from the Selected Values grid, select them and select the Remove button. S
