Verifying NDC Details When Setting up Vaccines

A vaccine’s NDC ID and corresponding NDC information is essential for accurate billing. Therefore, to ensure a comprehensive Immunizations billing cycle, users can view the NDC details included in the NDC Library during vaccine set up or when administering Immunizations. To view the NDC details, users can access the NDC Lookup. On the Vaccine Inventory tab, you can access the NDC Lookup to display a vaccine’s NDC ID and corresponding details. If necessary, you can override the NDC ID in the NDC ID field and select another NDC ID from the NDC Lookup. If an NDC ID is not set up in your NDC Library or if you do not have a default NDC Library, a caution indicator displays next to the field. When administering Immunizations in the Immunizations module on the Vaccine Details tab, you also have the option to access the NDC Lookup to verify or override the NDC ID. Set Up Additional Lot Numbers

On the Options tab, you can select additional lot numbers, if the Vaccine Inventory item has more than one Lot Number. On the Vaccine Inventory window, select the Options tab. To add lot numbers, in the Component Lot Numbers section, select the Open Menu button and select New. The Add Vaccine Lot Numbers window opens. Add the Vaccine Lot Number and Description and select OK. If necessary, enter a Vaccine Admin CPT4 code, for example, a no charge administration code for a specific lot number. This alternate code overrides the Administration CPT4 code (default) when a user is completing an immunizations order in the Immunizations module. Select OK. Create Inventory Entries for COVID-19 Vaccines

You can add entries for any COVID-19 vaccine stock available to your practice in the Vaccine Inventory List window. Open File Maintenance. Under Master Files - System, select Vaccine Inventory. The Vaccine Inventory List window opens. To create entries for any vaccine stock available to your practice, select open menu , and then select New. The Vaccine Inventory window opens. Find the corresponding COVID-19 vaccine from CDC Vaccine List and enter values in all the required fields. Note: Most details are automatically filled by the First Databank content set, including the manufacturer. Generate a Vaccine Inventory Report to Display Active VFC Vaccines

In File Maintenance, select System > EHR > Vaccine Inventory. The Vaccine Inventory List window opens. To generate a report, highlight a vaccine row, select the Open Menu button, and select Print. The Vaccine Inventory Master File report opens. Select the Filter button on the Report Toolbar. The report filtering options appears on the Settings List pane of the NextGen Report Filter: Vaccine Inventory window. Columns is the default selection. Select the appropriate columns, including VFC. To select the report filters, select Filter2. For this report, set VFC to Equals Y, Vaccine Status to Equals Active. On the Settings List, select Totals and select the Count records check box. Select OK. The report displays the total number of active VFC vaccines. Perform any other reporting action needed (such as printing, memorizing the report, or exporting the report). Generate a Vaccine Inventory Report to Display Vaccine Stock Units

In File Maintenance, select System > EHR > Vaccine Inventory. The Vaccine Inventory List window opens. To generate a report, highlight a vaccine row, select the Open Menu button, and select Print. Access the Vaccine Inventory While Administering Immunizations

You can add a new vaccine or update your vaccine inventory information when administering immunizations, by accessing the Vaccine Inventory. For example, your practice received a new lot of vaccines that need to be accessed for today's Immunization administration. Open the Immunizations module from the NextGen® Enterprise EHR Orders module and create a immunizations order. Select a vaccine or vaccines. To access the Vaccine Inventory, on the Create New/Update Immunizations Order for <patient name> window, select the button at the top right of the window. A list appears Vaccine Inventory and Vaccine Billing. Select Vaccine Inventory. The Vaccine Inventory List window opens. Select a vaccine to update or set up a new vaccine by selecting Open Menu and selecting New or Update. After updating the Vaccine Inventory, you can return to the Immunizations module by closing the Vaccine Inventory window. To order the updated or new vaccine, select the Select Vaccine tab and search for the vaccine
