Select the Vaccine to Include in the Vaccine Inventory

To access the Vaccines Inventory List window in File Maintenance, select System, and then Vaccines Inventory. From the Vaccines Inventory List window, select the Open Menu button and select New to create a vaccine inventory entries. On the Vaccine Inventory window, on the Vaccines tab, select the vaccine from the CDC Vaccine List section. Note: The system updates the vaccines monthly when the Medication Update is run. Enter the Vaccine Information on the Vaccines Tab

On the Vaccines tab, in the Orders Details section, enter the appropriate information for the specific vaccine (for example, Vaccine Name, Available Units). Note: In the Orders Details section, these fields are automatically filled in and cannot be changed: Status, Proc, Procedure Code Description, CVX code, and CVX Vaccine Name. Enter the Vaccine Name (required) for the Vaccine Inventory item. Select the Strength of the vaccine and the Quantity. Select the Route (method) in which the vaccine is administered, such as one of the following: Intramuscular, Oral, Subcutaneous, Nasal (Intranasal), Intravenous, or Intradermal. Note: To ensure the appropriate route displays when administering vaccines, select a route from the list. Your selection can only be one of the six routes displayed. Enter the Brand Name, select the vaccine Manufacturer, and enter the Lot Number, which may be indicated on the package. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Add an Immunization to an Administered Immunizations Order

Open the Orders module and select the Orders Summary tab. To add a new Immunizations to an existing order, right-click the immunizations order and select Update or double-click the immunizations order. The Vaccine Details tab appears. Select the Select Vaccines tab, select the appropriate vaccine from the list, or select a search option. For example, a patient also received a Hep B immunization during the visit and the immunization needs to be added to the original Immunizations order. The system adds the selected vaccine to the Assign Diagnosis to Selected Vaccines section. Select the Vaccine Details tab. Select the new Immunizations order from the list of vaccines to administer, for example, Hep B. Select the Registry from the list, if necessary. Select the Lot Number or enter the number manually and any other vaccine or clinical information, as required. Select the appropriate Save option. The system adds the Immunization, updates the status to Administered, and updates the registry

Add Administration Codes for COVID-19 Vaccines

You can add administration codes for billing the COVID-19 vaccines. On the Immunizations Configuration template, expand the Administration Codes panel. Note: By default, the Active option is selected above the grid. You must use the fields below the active codes grid for adding the COVID-19 administration codes. Select the Code field. The Select Procedure window opens. Note: By default, the procedures are listed based on numeric and alphabetic order of the Description column. In the Select Procedure window, do the following: Enter the search criteria, and select Search. The list is filtered to show only the items that meet the search criteria. Select the desired procedure code from the list, and select OK. The Select Procedure window closes. In the Administration Codes panel, the Code and Description fields below the active codes grid are automatically filled based on the selected procedure. To enter the sequence of vaccine administration, do the following: Select the Sequence # field.

Access the Vaccine Inventory While Administering Immunizations

You can add a new vaccine or update your vaccine inventory information when administering immunizations, by accessing the Vaccine Inventory. For example, your practice received a new lot of vaccines that need to be accessed for today's Immunization administration. Open the Immunizations module from the NextGen® Enterprise EHR Orders module and create a immunizations order. Select a vaccine or vaccines. To access the Vaccine Inventory, on the Create New/Update Immunizations Order for <patient name> window, select the button at the top right of the window. A list appears Vaccine Inventory and Vaccine Billing. Select Vaccine Inventory. The Vaccine Inventory List window opens. Select a vaccine to update or set up a new vaccine by selecting Open Menu and selecting New or Update. After updating the Vaccine Inventory, you can return to the Immunizations module by closing the Vaccine Inventory window. To order the updated or new vaccine, select the Select Vaccine tab and search for the vaccine
