Select the Vaccine to Include in the Vaccine Inventory

To access the Vaccines Inventory List window in File Maintenance, select System, and then Vaccines Inventory. From the Vaccines Inventory List window, select the Open Menu button and select New to create a vaccine inventory entries. On the Vaccine Inventory window, on the Vaccines tab, select the vaccine from the CDC Vaccine List section. Note: The system updates the vaccines monthly when the Medication Update is run. Set Up Additional Lot Numbers

On the Options tab, you can select additional lot numbers, if the Vaccine Inventory item has more than one Lot Number. On the Vaccine Inventory window, select the Options tab. To add lot numbers, in the Component Lot Numbers section, select the Open Menu button and select New. The Add Vaccine Lot Numbers window opens. Add the Vaccine Lot Number and Description and select OK. If necessary, enter a Vaccine Admin CPT4 code, for example, a no charge administration code for a specific lot number. This alternate code overrides the Administration CPT4 code (default) when a user is completing an immunizations order in the Immunizations module. Select OK. Set up the Vaccine Inventory for Immunizations

Before you start, run the most recent Medications Update. Set up your practice's Vaccine Inventory. Note: By default, the CPT code is mapped to the Service Item Master code. If your practice uses custom SIM codes, you can map these codes to the appropriate CPT code in File Maintenance > Systems > Vaccine Billing. Before building your vaccine inventory, it is recommended that you map your custom (or alternate) SIM codes, if necessary. Set up specific lot numbers for a component, if necessary. If your practice administers Immunizations to VFC-eligible patients and you have set up custom VFC SIM codes, you must select the VFC SIM code as the default or non-default using the Vaccine Billing option in File Maintenance. If your practice administers Flu Immunizations to patients with Medicare as the payer, you can set up the alternate Medicare Billing codes (Q codes) in the NDC Library to ensure accurate billing. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Add an Immunization to an Administered Immunizations Order

Open the Orders module and select the Orders Summary tab. To add a new Immunizations to an existing order, right-click the immunizations order and select Update or double-click the immunizations order. The Vaccine Details tab appears. Select the Select Vaccines tab, select the appropriate vaccine from the list, or select a search option. For example, a patient also received a Hep B immunization during the visit and the immunization needs to be added to the original Immunizations order. The system adds the selected vaccine to the Assign Diagnosis to Selected Vaccines section. Select the Vaccine Details tab. Select the new Immunizations order from the list of vaccines to administer, for example, Hep B. Select the Registry from the list, if necessary. Select the Lot Number or enter the number manually and any other vaccine or clinical information, as required. Select the appropriate Save option. The system adds the Immunization, updates the status to Administered, and updates the registry
