Add Vaccine and Administrative CPT4® Codes

You can manually add the CPT4® codes of COVID-19 vaccines in File Maintenance. Open File Maintenance. Under Master Files - System, select CPT4 Codes. The CPT4® codes master file opens. To create or modify CPT4 code information, select open menu . Note: You must truncate the full Description provided by the American Medical Association (AMA). Also, you must manually add COVID-19 vaccine codes. COVID-19 vaccines CPT4 codes are available from 06/11/2021. Enter the Code, Description, and Note according to the COVID-19 vaccines CPT4 codes table, and select OK. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Update NDC Library with COVID-19 Vaccine Details

You can create a National Drug Code (NDC) library or update an existing library to include COVID-19 vaccines. Open File Maintenance. Under Libraries, select NDC. The NDC List window opens. To add codes to an existing library, select a library and select open menu , and then select Open. Note: You can create a Service Item (SIM) library for COVID-19 vaccines by selecting open menu and then selecting New. The NDC List Maintenance window opens. Create SIM Codes for COVID-19 Vaccines

Each manufacturer’s vaccines are represented by individual unique CPT4® and administration codes. You can add the unique COVID-19 vaccine codes to the Service Item Library. Open File Maintenance. Under Libraries, select Service Items. The Service Items List window opens. To add codes to a library, select an existing library and select open menu , and then select Open. Note: You can create a Service Item (SIM) library for COVID-19 vaccines by selecting open menu and then selecting New. The Service Item Library Maintenance window opens. Add COVID-19 Vaccines to Practice Favorites

You can add COVID-19 vaccines to the list of favorite vaccines in a practice to allow quick selection of COVID-19 vaccines in the Immunizations module. Open File Maintenance. Under Master Files - System, select Practices. The Practices List window opens. Double-click your practice. The Modify Practice Information window opens. Select Preferences. The Practice Preferences window opens. From Preference List, select Orders Module and select the Imm tab. To add COVID-19 vaccine(s) to your practice favorites, under Vaccine Favorites, select open menu and then select New. Update VIS with COVID-19 Vaccine Details

You can update Vaccine Information Statement (VIS) with the Emergency Use Authorization (EUA) fact sheet content. Open File Maintenance. Under Master Files, select System and then select VIS Setup. The VIS SetUp List window opens. To create entries for COVID-19 vaccines being administered, select open menu , and then select New. The Add VIS Document window opens. Note: Users must download the Emergency Use Authorization (EUA) fact sheets from the CDC webpage or NextGen Healthcare Success Community. These are attached to the corresponding vaccine. The EUA fact sheets are available only for approved vaccines. The File Name option expands to a folder specified in the System Administrator preferences where the downloaded fact sheets are placed.
