Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Create SIM Codes for COVID-19 Vaccines

Each manufacturer’s vaccines are represented by individual unique CPT4® and administration codes. You can add the unique COVID-19 vaccine codes to the Service Item Library. Open File Maintenance. Under Libraries, select Service Items. The Service Items List window opens. To add codes to a library, select an existing library and select open menu , and then select Open. Note: You can create a Service Item (SIM) library for COVID-19 vaccines by selecting open menu and then selecting New. The Service Item Library Maintenance window opens. Add the vaccine CPT4 codes and administration codes to the SIM Library and select OK. Note: Each manufacturer’s vaccines are represented by individual unique CPT and administration codes. CPT4® Codes of COVID-19 Vaccines

The CPT4® codes are unique to the manufacturer and dosage of vaccines. You must manually add the CPT4 codes of COVID-19 to File Maintenance. The following table lists CPT4® codes of COVID-19 vaccines (available as of 06/11/2021). Add COVID-19 Vaccines to Practice Favorites

You can add COVID-19 vaccines to the list of favorite vaccines in a practice to allow quick selection of COVID-19 vaccines in the Immunizations module. Open File Maintenance. Under Master Files - System, select Practices. The Practices List window opens. Double-click your practice. The Modify Practice Information window opens. Select Preferences. The Practice Preferences window opens. From Preference List, select Orders Module and select the Imm tab. To add COVID-19 vaccine(s) to your practice favorites, under Vaccine Favorites, select open menu and then select New. Create Inventory Entries for COVID-19 Vaccines

You can add entries for any COVID-19 vaccine stock available to your practice in the Vaccine Inventory List window. Open File Maintenance. Under Master Files - System, select Vaccine Inventory. The Vaccine Inventory List window opens. To create entries for any vaccine stock available to your practice, select open menu , and then select New. The Vaccine Inventory window opens. Find the corresponding COVID-19 vaccine from CDC Vaccine List and enter values in all the required fields. Note: Most details are automatically filled by the First Databank content set, including the manufacturer.
