Enable Enterprise Worklog Manager

When you have security access to multiple practices within an enterprise, you can enable Enterprise Worklog Manager. This enables you to work on tasks from different practices without having to login to each practice. For example, while logged in to Practice A, you can work on tasks from Practice A, Practice B and Practice C all at the same time. To enable Enterprise Worklog Manager, do the following: Access NextGen® Enterprise PM. From the Admin menu, select Preferences, then User, and then General. The User Preferences window opens. Select the Tasks tab. Select the Enterprise Worklog Manager check box. The following prompt displays: Would you like all practices selected by default in Enterprise Worklog Manager? Select one of the following: To automatically pre-select all practices to which you have access rights in the Practice field on the Enterprise Worklog Manager window in NextGen® Enterprise PM, select Yes. Working Tasks in Enterprise Mode

The Enterprise Worklog Manager window enables you to work tasks for practices to which you have access within the current enterprise. You can access the tasks created in practice in which you have not logged in, but the practice is in your Included list within Practice Defaults window. The count of tasks displayed in Task List within the Enterprise Worklog Manager window for the selected one or more practice depends on the Lookup Limits User Preferences. If you are responsible for working tasks across multiple practices and have many tasks in each practice, the system will pull up as many tasks as it can from the first practice, then the second, and so on until the look up limit is met. If the lookup limit is met by the tasks listed for the first practice, tasks for other practices are not displayed unless additional filtering is added. To work tasks within the Enterprise Worklog Manager window, select the task and right-click for options. The options available are: Open Delete Account

Managing Tasks with Enterprise Worklog Manager

Just like the standard Worklog Manager, the Enterprise Worklog Manager window displays a list of tasks based on the search criteria entered. View the search results in the Task List pane based on the Search Criteria you have entered under General and Advanced tab. The Task List includes the columns that are always displayed and configurable columns as well. The columns that are always displayed in the Task List are as follows: Assigned To Source Date Create Date Source Name Completion Date Source Nbr Completion Reason Source Type Due Date Status Expiration Date Subject Follow Up Date Task Type Priority Columns available for selection include Approval Amt, Invoice Aging Days, Last Patient Pay Date, Payer and so on. Make Available Enterprise Worklog Manager

The Enterprise Worklog Manager facilitates you to manage tasks from different practices without having to log on to each practice. Open NextGen® Enterprise PM. Select Admin > Preferences > User > General. The User Preferences window opens. Select the Tasks tab. Tasks tab opened in the User Preferences window Select the Enterprise Worklog Manager checkbox. An application message appears asking about the confirmation for default selection of all practices for the Enterprise Worklog Manager. Select Yes for automatic pre-selection of all practices in the Practice field on the Enterprise Worklog Manager window or select No for manual selection. The Practice Defaults folder appears. Transaction Approval Tasks

Your practice can use the Transaction Approval feature to control when payments, adjustments and refunds get posted. When Transaction Approval is being used, users cannot post transactions that exceed a specified dollar amount without first obtaining an approval from a manager or supervisor. Approval of transactions is managed through Worklog tasks. Managers, or any person designated as an approver, can log in to NextGen® Enterprise PM and check the list of tasks awaiting their approval in the Worklog. Users awaiting approval can check the status of their assigned tasks in the Worklog to see if an approval has been granted. You can configure the system to send an email to a user when a transaction task awaiting approval has been granted (or denied) approval. During Payment Entry, transactions that meet the criteria that requires an approval (as indicated in the Task Types master file) auto-create a task.
