Transaction Approval Tasks

When Transaction Approval is being used, users cannot post transactions that exceed a specified dollar amount without first obtaining an approval from a manager or supervisor. Approval of transactions is managed through Worklog tasks. Transaction Approval feature controls when payments, adjustments and refunds get posted. Managers, or any person designated as an approver, can log on NextGen® Enterprise PM and check the list of tasks awaiting their approval in the Worklog. Users awaiting approval can check the status of their assigned tasks in the Worklog to see if an approval is granted. You can configure the system to send an email to a user when a transaction task awaiting approval is granted or denied approval. During payment entry, tasks are automatically created for transactions that meet the criteria that requires an approval (as indicated in the Task Types master file). Resubmit a Transaction for Approval

If your practice uses transaction approval, the transaction you entered could get denied. You can resubmit the transaction for approval that has been denied during the transaction approval process. For more information about transaction approval, go to NextGen Healthcare Success Community and download the latest Practice Workflow User Guide for NextGen® Enterprise PM. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Right-click a TRAH Trans Approval Hold batch in the Batch Posting window, and then select Ledger. The Transaction Ledger window opens. Double-click the transaction to be resubmitted in the ledger. The Payment Entry window opens Select Open and then modify the transaction as desired. Enterprise Worklog and Tasks

From the Enterprise Worklog Manager window, you can manage tasks for all practices to which you have access. The window allows you to: View tasks Modify tasks Complete tasks Delete Tasks To manage and work with tasks, select the Worklog button on the main toolbar. Enable Enterprise Worklog Manager The Enterprise Worklog Manager enables you to work on tasks from different practices without having to login to each practice. Managing Tasks with Enterprise Worklog Manager Just like the standard Worklog Manager, the Enterprise Worklog Manager window displays a list of tasks based on the search criteria entered. View Tasks in My Approval Queue

Access NextGen® Enterprise PM. Select the Worklog button on the main toolbar. The Worklog Manager window appears. Select the Show Tasks in My Approval Queue check box. Select Find. The Task List displays all the tasks that are currently awaiting your approval. Double-click to open the task you want to work on. The Edit Task window appears. Set Up Tasks for Auto Creation for Transaction Approvals

Before you begin Before you can create a Transaction Approval task type, you must: Set up at least one approval profile in the Task Approval Profiles master file. Turn on transaction notes in the Transactions Practice Preferences. You must enable transaction notes so that transaction approval tasks can automatically create. You can set tasks to automatically generate when management approval is needed for adjustments, payments, and refunds that exceed certain dollar amounts. To set up a task to be automatically generated when a payment is posted, perform the following steps: Open or create a task type. In the Source Type field, select Transaction. This field is required.
