Add Transactions from Patient Records

Before you begin You must select the batch before adding transactions from the selected patient record. Open NextGen® Enterprise PM. On the main toolbar, select Posting. The Batch Posting window opens. Right-click the batch, and then select Set as Active Batch. A green check mark appears on the selected batch. Note: You can also select the batch in Edit > Session Settings > Active Batch in the Session Settings window. Search for and select the patient record for the encounter from one of the following locations: Tasks > Lookup > Appointments. Tasks > Lookup > Encounters. Tasks > Lookup > Charts. From the People Maintenance window, select Chart, and then select the Encounters tab. Right-click the patient or the encounter or appointment if an encounter is attached, and then select Add Transaction. The Payment Entry window opens. Enter the transaction details, and then select Recalc. Select Save. The transaction is recorded to the active batch. Parent topic: Viewing Reconciled Transaction

Resubmit a Transaction for Approval

If your practice uses transaction approval, the transaction you entered could get denied. You can resubmit the transaction for approval that has been denied during the transaction approval process. For more information about transaction approval, go to NextGen Healthcare Success Community and download the latest Practice Workflow User Guide for NextGen® Enterprise PM. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Right-click a TRAH Trans Approval Hold batch in the Batch Posting window, and then select Ledger. The Transaction Ledger window opens. Double-click the transaction to be resubmitted in the ledger. The Payment Entry window opens Select Open and then modify the transaction as desired. Select Resubmit for approval. Select Save. The current task auto-completes and a new transaction approval task is auto-created. Viewing Reconciled Transactions

NextGen Healthcare offers the reconcile option in the Transaction ledger window for payment balancing. Reconciliation requires the subtotals of the payments received at a facility by adding the cash, checks, and credit card. The subtotals of cash, checks, and credit card are compared with the subtotals in the Batch Listing report. If the subtotals of the batch listing report does not tally with the payments received, you must go through each item one by one to verify the payment received is actually entered into the system. You can indicate reconciled transactions in the Transaction Ledger window. A green check mark in the Reconciled column of the Transaction ledger window indicates the item is reconciled. Transaction Approval Tasks

Your practice can use the Transaction Approval feature to control when payments, adjustments and refunds get posted. When Transaction Approval is being used, users cannot post transactions that exceed a specified dollar amount without first obtaining an approval from a manager or supervisor. Approval of transactions is managed through Worklog tasks. Managers, or any person designated as an approver, can log in to NextGen® Enterprise PM and check the list of tasks awaiting their approval in the Worklog. Users awaiting approval can check the status of their assigned tasks in the Worklog to see if an approval has been granted. You can configure the system to send an email to a user when a transaction task awaiting approval has been granted (or denied) approval.
