Post Transactions in the Batch Header

In NextGen Healthcare, posting a transaction permanently records the transaction and cannot be modified or deleted. You must use a correcting transaction to reverse any transaction posted in error. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select the batch header to post. Select open menu , and then select Post. A message appears asking for a confirmation to post the batch and its associated transactions. Select OK. The Batch Listing report preview opens, and a message appears confirming the successful posting of the batch. Select OK. To review all the transactions in the batch, select on the Batch Listing report menu. A message appears stating that the printing of the report is in progress. Note: You cannot print the Batch Listing report after the posting process is completed. Transaction Posting Process

NextGen Healthcare processes all monetary payments through batches. All transactions including charges, payments and adjustments are recorded in batches. Each batch is distinctive and can be accessed by a specific user or anyone in the practice. You can initiate the payment posting process by creating a batch header to enter relevant information for the batch. The header batch opens to ensure payments, adjustments and refunds are balanced. Transaction posting process involves the following. Creation of a batch header record for identifying all patient and payment parameters. Recording payments, adjustments, and refunds for a batch. Enter a Deductible Amount in Payment Entry

You can enter the deductible amount manually from Explanation of Benefits (EOB) during the payment entry process or automatically through the Electronic Remittance Advice (ERA) process. You can track the deductible amounts using various reports. CAUTION: The Deductible Amount field is cumulative. For example if you have a transaction with five lines, each with a $10.00 deductible, then the transactions ledger in chart will display a transaction line item with a summarized $50.00 total for deductible. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Double-click the desired batch header record. The Payment Entry window opens. Enter the encounter number in Enc/Clm#. The account guarantor, patient, medical record number, and the billed account displays in the Payment Entry window. Select Open. The Payment Entry window is available for modifications. In Deduct, enter the deductible amount, and then select Save. Note: The patient deductible

Viewing Reconciled Transactions

NextGen Healthcare offers the reconcile option on the Transaction ledger window for payment balancing. Reconciliation requires the subtotals of the payments received at a facility by adding the cash, checks, and credit card. The subtotals of cash, checks are credit card are compared with the subtotals in the Batch Listing report. If the subtotals of the batch listing report does not tally with the payments received, you must go through each item one by one to verify the payment received is actually entered into the system. You can indicate reconciled transactions in the Transaction Ledger window. A in the Reconciled column of the Transaction ledger window indicates the item has been reconciled. Note: The Reconciled column is for informational purpose only. Resubmit Transactions for Approval

If your practice uses transaction approval, the transaction you entered may be denied. You can resubmit the transaction for approval that is denied during the transaction approval process. For more information on transaction approval, go to NextGen Healthcare Success Community, and download the latest Practice Workflow User Guide for NextGen® Enterprise PM. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Right-click a TRAH Trans Approval Hold batch, and then select Ledger. The Transaction Ledger window opens. Double-click the transaction to be resubmitted in the ledger. The Payment Entry window opens. Select Open, and then make the necessary changes to the transaction. Select Resubmit for approval. Select Save. The current task is automatically completed and a new transaction approval task is created. NextGen® Enterprise PM requires you to create a transaction batch header for entering payments or transactions.
