Working Tasks Assigned to You

After a task has been created, the person assigned to the task can begin to work on it. In general, the workflow for working on a task has three phases:

  • Starting a task
  • Following up on a task
  • Completing a task

As a user goes through these phases, he/she must use the Edit Task window to update various fields and change the status of the task, so that it can be accurately tracked and reported on. The following is a description of each phase:

  • Starting a task – the user assigned to the task looks up task details and instructions to begin the work and provides a start date and change in status. A follow up date may be entered at this time as a reminder to review the task on the date specified.
  • Following up on a task – as work continues on the task, the user enters progress notes each time he/she follows up on the task.
  • Completing a task – the user updates various fields and changes the status to complete.

The Edit Task window can be used by anyone who has been assigned Allow Task Modification security rights. Additional security rights must be assigned to modify information on the Instructions tab. Modifications to this tab require the Allow Task Instruction Modification security rights. These security rights enable you to control who can make task changes. Typically, the person assigned the task would be given security rights to be able to work on the task and an administrator would need to make changes, such as changing the priority of a task or assigning a task to a different user or multiple users.

When modifications are being made, they can be made to a single task or multiple tasks for the same source. They can also be made when manually creating a task for the same source. Instructions for making these modifications are explained later in this section.
