Working on Small Balance Write-off Tasks

NextGen® Enterprise PM provides a feature that writes off small balances with adjustments during the nightly process. Your system administrator can set up an AutoWorker task that specifically for writing off small balances. This task automatically runs with the nightly process and produces two items: A batch containing the necessary adjustments required to write off the small balances A task in your Worklog, assigning you the task of posting the batch CAUTION: You must post the batch before the next nightly process. If you do not post the batch on the day it is created, it runs again with the next nightly process. Because the encounters in the batch still match the parameters that trigger the small write-off task, the task runs again resulting in additional adjustments. If your system administrator uses this feature and task, the appropriate transaction codes are available to you to complete the task. Set Up Auto Worker Tasks for Small Balance Write-Offs

You can set up tasks to automatically write off small balances each night based on selecting an action from a list. These tasks are worked automatically by the application based on the Auto Worker action chosen and completed. The completed task is then reflected in the Worklog and the Edit Task dialog box in NextGen® Enterprise PM. Auto Worker creates a transaction batch and, on the next day, the NextGen® Enterprise PM user must post the transaction batch. For each day that the batch is not posted, auto worker continues to create additional tasks for the same encounter and new batches will be created every day. To set up a task to automatically write off small balances, perform the following steps: Open or set up new task types. On the Task Types dialog box, select the Options tab, then set the Default Priority to Low, Normal, or High. Select the Auto Creation tab. In the Source Type field, select Encounter. Setup Auto Worker Tasks for Credit Balance Write-Offs

You can setup a Task Type to automatically write-off credit balances that are less than zero at the account level. After the task is activated, accounts are automatically identified when a guarantor credit meets the defined parameters. This occurs when the third party balance is zero. Then the application automatically writes-off the credit balances. Access File Maintenance System Master Files > PM > Tasks Types. The Task Types List window appears. Select the Open Menu button and select New. The Task Types window appears. In the Task Type field, enter a free-text description for the task. This field is required. In the Source Type field, select Account or Encounter. This field is required. Complete the Task Value, Task Subgrouping 1, Task Subgrouping 2, and Note fields as needed for the task.
