Notifications for New NextGen Mail Messages

After logging in to NextGen® Enterprise PM, if you have new unread mail messages, the following prompt appears: You have [n] unread NextGen mail message(s). Do you want to read your new mail now? Do one of the following: To review unread messages, select Yes. The NextGen Mailbox window appears. To close the prompt without reviewing unread messages, select No. If you receive new mail while you are logged in to NextGen® Enterprise PM, a Mail icon appears in the status bar at the bottom of the screen. In addition, the NextGen Email section on the Advisor window updates to display the current number of unread messages. Parent topic: NextGen Mail

Create a New NextGen Mail Message

From the main toolbar, select the Mailbox button. The NextGen Mailbox window appears. From the mailbox toolbar, select the New Message button. The New Message window appears. The Message tab displays two recipient fields: To NextGen and To Outlook. The field that is required is the one that is selected as the Default Mail Option in General User Preferences. Do one of the following: In the To NextGen field, double-click <<Double-Click to Select Mail Recipient(s)>>. From the message toolbar, select the Address button. The Address Book window appears. In the Show Users From field, select the desired Practice. Users, Security Groups, and Distribution Lists for the selected practice display. To select recipients for the message, do one of the following: To add a recipient, select a User, Security Group, or Distribution List in the Available Users and Groups section on the left, and then select the Add button to move it to the Message Recipients section on the right. Integrate Outlook Mail with NextGen Mail

To integrate your Microsoft® Outlook mail with your NextGen Mail, do the following: Access NextGen® Enterprise PM. From the Admin menu, select Preferences, then User, and then General. The User Preferences window appears. Select the General tab. In the Mail Options section, select the Logon to Outlook Mail at startup check box. For Default, select one of the following: NextGen: Select this button if NextGen Mail is used most often. Outlook: Select this button if Outlook Mail is used most often. To save changes and close the window, select OK. Log out and then log back in to NextGen® Enterprise PM for the changes to take effect. Note: If the Logon to Outlook Mail at startup check box is not selected and the Outlook button is selected as the default, then your Outlook mail does not display in NextGen® Enterprise PM. Respond to a NextGen Mail Linked to an Appointment

If another user links an appointment to a NextGen mail message and sends it to you with a pending action, such as a request to reschedule or cancel the appointment, you can send a mail message back to the user with a confirmation response. The confirmation response tells the requesting user that you received the request and have acted on it. An appointment that is attached to a NextGen mail message has a status of Pending and displays in italics text in the Appointment Book. The appointment remains in pending status until the requested action is completed and a confirmation response is sent. From the main toolbar, select the Mailbox button. The NextGen Mailbox window appears. In the NextGen Mail section on the left, select Inbox. Mail messages display in the section on the right. Double-click to open the mail message with Appt Modification Request in the Subject line. The Appt Modification Request window appears. NextGen Mail

NextGen® Enterprise PM includes a mail feature that enables you to send messages to, and receive messages from, other users in the practice. If your practice normally uses Outlook® for email, users can integrate their Outlook mail with their NextGen Mail so they have access to both in NextGen® Enterprise PM. You can view email statistics for the current user. The statistics shown are Real-Time and are updated when the Advisor window is refreshed.
