Access and View NextGen Mail

Access NextGen® Enterprise PM. Do one of the following: button. From the main toolbar, select the Mailbox From the status bar at the bottom of the screen, double-click the Mail icon. From the NextGen Email section on the Advisor window, select the Unread link. The NextGen Mailbox window appears. In the NextGen Mail section on the left, select Inbox. Mail messages display in the section on the right. Unread mail is displayed in bold text. Previously read mail is displayed in regular text. To open a mail message, do one of the following: Double-click the message to be opened. Highlight the message to be opened and then select the Open Message button on the mailbox toolbar. Integrate Outlook Mail with NextGen Mail

To integrate your Microsoft® Outlook mail with your NextGen Mail, do the following: Access NextGen® Enterprise PM. From the Admin menu, select Preferences, then User, and then General. The User Preferences window appears. Select the General tab. In the Mail Options section, select the Logon to Outlook Mail at startup check box. For Default, select one of the following: NextGen: Select this button if NextGen Mail is used most often. Outlook: Select this button if Outlook Mail is used most often. To save changes and close the window, select OK. Log out and then log back in to NextGen® Enterprise PM for the changes to take effect. Note: If the Logon to Outlook Mail at startup check box is not selected and the Outlook button is selected as the default, then your Outlook mail does not display in NextGen® Enterprise PM. Create a New NextGen Mail Message

From the main toolbar, select the Mailbox button. The NextGen Mailbox window appears. From the mailbox toolbar, select the New Message button. The New Message window appears. The Message tab displays two recipient fields: To NextGen and To Outlook. The field that is required is the one that is selected as the Default Mail Option in General User Preferences. Do one of the following: In the To NextGen field, double-click <<Double-Click to Select Mail Recipient(s)>>. From the message toolbar, select the Address button. The Address Book window appears. In the Show Users From field, select the desired Practice. Users, Security Groups, and Distribution Lists for the selected practice display. To select recipients for the message, do one of the following: To add a recipient, select a User, Security Group, or Distribution List in the Available Users and Groups section on the left, and then select the Add button to move it to the Message Recipients section on the right. NextGen® Email

You can view email statistics for the current user. The statistics shown are Real-Time and are updated when the Advisor window is refreshed. NextGen® Mail statistics include: Unread: Total NextGen Mail messages for the current user that have not yet been read Pending Action: Total NextGen Mail messages for the current user that have an appointment in Pending status linked to the mail Note: Select the Unread link to access the NextGen Mailbox window. NextGen Mail

NextGen® Enterprise PM includes a mail feature that enables you to send messages to, and receive messages from, other users in the practice. If your practice normally uses Outlook® for email, users can integrate their Outlook mail with their NextGen Mail so they have access to both in NextGen® Enterprise PM. One or more of the following icons may appear in the Status Bar in NextGen® Enterprise PM. Icon Description Appears when you have new unread email. Opens the NextGen Mailbox window.
