Online Profiles

An Online Profile works similar to an email distribution list. You can create a profile with a generic name and add users to the profile. This profile can then be selected in the From field, when composing, replying to, or forwarding messages in NextGen® Enterprise EHR and NextGen® Enterprise PM. When a patient replies to a message received from an online profile, all users belonging to the online profile will receive the message. You can also apply the Do Not Reply feature to an online profile so that patients cannot reply to the message. This setting can be managed in NextGen® Enterprise EHR or NextGen® Enterprise PM. Reply to Messages

Before you begin Ensure that you have turned on Allow API Access for all users in NextGen Healthcare System Administrator. Note: The term Distribution List refers to both routing policies and online profiles. An online profile works similar to an email distribution list. If an online profile is used, everyone listed in the online profile receives the responses. Patients can only respond to an online profile. They cannot initiate a message. For more information about creating online profiles, go to NextGen Healthcare Success Community and download the Configuration Guide for NextGen® PxP Portal . Optional: To accept and reply immediately, right-click the message to select Accept with Actions, and then select Accept and Reply. Double-click in a previously accepted message that is in the Inbox under Communications. The Patient Portal Message window opens. Do one of the following: If you want to Do this Respond to the sender only Select Reply. The To field fills in with the sender's name.

Add a New Online Profile

When you create a new profile, you can add users or groups of users to the profile. You can also apply the Do Not Reply feature to the profile. Open the Online Profiles window. Select Add Profile. You can also select New Online Profile from the Actions menu. A new profile opens with the default name New Online Profile. Perform the following actions: Enter a name for the profile. Select individual users or groups of users. You can also search for users if required . To select all users and groups, right-click in the users and groups list and select Select All. To clear all check boxes for users and groups, right-click in the users and groups list and select Select None. Select the Do not allow patients to reply check box to enable the Do Not Reply feature. Send Messages to Patients

Before you begin Ensure that the patient is enrolled in Patient Portal. You can initiate a message from the Patient Information Card (PIC) and send it to a recipient in NextGen® Enterprise EHR. You can attach a template, document, image, email, or report to the message. Open NextGen® Enterprise EHR, and select a patient from the Patient Lookup window. On the PIC, select New Message. Note: The New Message button appears only when the patient enrollment is complete in Patient Portal. The icon indicates that the enrollment is complete. The Patient Portal Message window opens with the recipient’s name in the To field by default. You can change the recipient or add recipients from the To list. Verify the recipient's name, enter the subject, and message, and then select Send & Chart. If you do not want to add the message to patient's chart, select the Do not add to chart option under Send & Chart.
