Reply to Messages

If you want to	Do this
Respond to the sender only	Select Reply. The To field fills in with the sender's name.
Respond to the patient	Select the arrow next to Reply, and then select To Patient.
Reply to everyone included in the message	Select the arrow next to Reply, and then select To All.

If you want to	Do this
Ensure that all users in the routing policy continue to receive the response	Select any reply option. If the alias is configured for the routing policy, the From field automatically fills in with that alias. If no alias is configured, your name appears in the From field. If you reply with your name, the users in the original routing policy do not receive the subsequent responses from the patient. Identify yourself as the sender	Select the arrow next to From, and then select your name. The routing policy users do not receive subsequent responses.
Use an online profile to send the response	Select the arrow next to From, and then select an online profile. Note: Only users who belong to the online profile receive the subsequent responses. The users in the original routing policy do not receive subsequent responses unless they belong to the online profile.

Set a Message's Completion Status

If a group of users (a routing policy or an online profile) are responsible for a message, marking the NextGen® PxP Portal message as Complete lets everyone know that the necessary actions are done. If the message includes a distribution list, you must accept it before marking it as complete. If you realize more actions need to be taken, you can change the status to Incomplete. Note: The term Distribution List refers to both routing policies and online profiles. An online profile works similar to an email distribution list. If an online profile is used, everyone listed in the online profile receives the responses. Patients can only respond to an online profile. They cannot initiate a message. Open the message, and then select Complete . From the Inbox, right-click the message to select Mark As > Complete.

Release Messages

If you cannot act on an accepted message, you can release it for others in the distribution list to take ownership. Alternately, if another user is not able to attend to an accepted message, you can release it so that you or others in the routing rule can perform the necessary actions. Accept Messages

When you receive a message addressed to a distribution list, you can use the Accept feature to let others in the list know that you are responding to the sender. Note: The term Distribution List refers to both routing policies and online profiles. An online profile works similar to an email distribution list. If an online profile is used, everyone listed in the online profile receives the responses. Patients can only respond to an online profile. They cannot initiate a message. Double-click a new message that you want to assign to yourself. The Patient Portal Message window opens. Reassign Messages

If someone in another routing policy needs to act on a message that you received, you can reassign it to the relevant users or user groups. When you reassign a message, the From address of the message remains the same. You cannot reassign responses that are from an online profile. Release Messages Accepted by Other Users

If a user who accepted a message is unable to attend to the message for any reason, you can release it so that you or other users in the routing rule can take the responsibility of the message and perform necessary actions.
