Reinstate Encounters from Patient Chart

When reinstating bad debt encounters from a patient chart, multiple encounters for the patient can be selected at the same time. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter search criteria to search the desired patient. Select Find. All existing persons and patients that match the search criteria appear in the Matching Records section. Select Matching Records, and then double-click the patient. The Patient Chart window opens. Select the Encounters tab. Select Encounters, and then select an encounter to reinstate from bad debt. Right-click and select Reinstate. The Reinstate Multiple Encounters from Chart window opens. All bad debt encounters for the patient with the same guarantor are displayed. The encounter that was selected before selecting Reinstate from the menu is pre-selected to be reinstated from bad debt. Additional encounters can be selected as needed. Select all encounters to be reinstated. To save changes and close the window, select OK

Reinstate Encounters from the Account Profile

When reinstating bad debt encounters from a guarantor’s Account Profile, encounters for one or more patients can be selected at the same time. For example, encounters for multiple family members that are all linked to the same guarantor. To reinstate encounters from the account profile, do the following: Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to search the desired account. Select Find. All existing accounts that match the search criteria display in the Account List section of the window. In the Account List, double-click to open the account. The Account Profile window opens. Select the Encounters Detail tab. Select a patient or an encounter to be reinstated from bad debt. Right-click the patient or encounter, and then select Reinstate. The Reinstate Multiple Encounters from Account window opens. If you select a patient before selecting Reinstate from the menu, all encounters in bad debt status for the account are displayed. Y

You can reinstate encounters from bad debt status if needed from the guarantor's Account Profile or from Patient Chart. One or more encounters are pre-listed and processed to bad debt in error. Encounters in Bad Debt Status

The system do the following when encounters are processed to bad debt: Account AlertA system-generated Account Bad Debt alert message appears when you access the guarantor’s Account Profile or the Patient Chart. Note: The bad debt alert must be enabled in Practice Preferences > Alerts. Encounter Status The encounter status changes from Billed to Bad Debt, indicated by a red dollar sign icon. You can view this icon on the Encounters Detail and Acct Summary tabs in the guarantor’s Account Profile. You can also view it on the Financial and Encounters tabs in Patient Chart. Encounter Note An Agency Bad Debt Write Off note is automatically added to the encounter, indicated by a push pin icon. You can view this icon on the Notes sub-tab of Patient Chart > Encounters tab. Transactions Two system-generated transactions move the encounter balance from the Regular A/R to the Bad Debt A/R. Bad Debt Credit: Removes the balance from the Regular A/R Bad Debt Debit: Adds the balance into the Bad Debt

Encounters Previously in Bad Debt Status

When a bad debt encounter is paid or adjusted in full and the balance becomes $0.00, the encounter status changes from Bad Debt to History. Prevent Bad Debt encounters from going to history status option is available on the Transactions tab in the Practice Preferences window, when this option is enabled, it prevents $0.00 balance bad debt encounters from going to History status, instead retaining in the Bad Debt status. You can use this option for tracking and reporting purposes. When you enable Prevent Bad Debt encounters from going to history status option, only current and future bad debt encounters will retain a status of bad debt. Previous bad debt encounters with a $0.00 balance are not affected and remain in History status. If you clear this option, all $0.00 balance bad debt encounters immediately change to History status. Adding Encounters to the Pre-List for Bad Debt

You can add encounters to a pre-list for bad debt from the Account Profile for the guarantor, or from the Patient Chart. Each encounter to be pre-listed for bad debt must meet the following conditions: The encounter must have a status of Billed. The insurance balance on the encounter must be $0.00. Note: If an encounter has an Ins1 Amt, Ins2 Amt or Ins3 Amt balance in Balance Control, the insurance balance(s) will be moved to the Pat Amt bucket when the encounter is pre-listed. The patient balance must be greater than $0.00. The encounter cannot have a credit balance. The encounter cannot have unposted transactions.
