Processing Pre-Listed Encounters to Bad Debt

When the Encounters Pending Bad Debt report is reviewed, and only pre-listed encounters that are turned over to a collection agency remain on the report, those encounters can be processed to Bad Debt. You can process pre-listed encounters to bad debt in two ways: From the Encounters Pending Bad Debt report. This is the preferred method to do a final review of the pre-list report and/or to save a copy of the final pre-list report before processing encounters to bad debt. Modify Encounters on the Pre-List for Bad Debt

After reviewing the Encounters Pending Bad Debt report, you can modify the encounter on the pre-list. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter the desired patient. Select Find. All existing persons and patients that match the search criteria display in the Matching Records section of the window. In the Matching Records list, double-click to open the patient. The Patient Chart window opens. Select the Encounters tab. From the Encounters list, select the pre-listed encounter to be modified. Right-click and select Pre-List, and then select Open. The Pre-List Encounter window opens. Modify the Collection Agency, Effective Date and Bad Debt Status fields, if needed. Note: You can modify guarantor credit rating on the Properties tab in the Account Profile window. To save changes and close the window, select OK. Posting Transactions on Bad Debt Encounters

Payments and adjustments on bad debt encounters use transaction codes that are set up in File Maintenance specifically for bad debt encounters. Transaction Codes that have the Bad Debt Only check box enabled are available for selection on the Payment Entry window only when posting to a bad debt encounter. These transaction codes are not available for selection when posting an encounter with any other status. Reinstating Encounters from Bad Debt

You can reinstate encounters from bad debt status if needed from the guarantor's Account Profile or from Patient Chart. One or more encounters are pre-listed and processed to bad debt in error. You can reinstate such encounters from bad debt. Reinstate Encounters from the Account Profile You can reinstate encounters from the Account Profile. Reinstate Encounters from Patient Chart You can reinstate encounters from Patient Chart. Adding Encounters to the Pre-List for Bad Debt

You can add encounters to a pre-list for bad debt from the Account Profile for the guarantor, or from the Patient Chart. Each encounter to be pre-listed for bad debt must meet the following conditions: The encounter must have a status of Billed. The insurance balance on the encounter must be $0.00. Note: If an encounter has an Ins1 Amt, Ins2 Amt or Ins3 Amt balance in Balance Control, the insurance balance(s) will be moved to the Pat Amt bucket when the encounter is pre-listed. The patient balance must be greater than $0.00. The encounter cannot have a credit balance. The encounter cannot have unposted transactions. Pre-List Encounters from Patient Chart

When you pre-list encounters for bad debt from Patient Chart, multiple encounters for the patient can be selected at the same time. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter Search Criteria fields to locate the desired patient. Select Find. All existing persons and patients that match the search criteria display in the Matching Records section of the window. In the Matching Records list, double-click to open the patient. The Patient Chart window opens. Select the Encounters tab. From the Encounters list, select an encounter to be pre-listed for bad debt. Right-click and select Pre-List, and then select Open. The Pre-List Multiple Encounters from Chart window opens. All eligible encounters for the patient with the same guarantor are displayed. The encounter that is selected before selecting Pre-List > Open from the menu is added to the pre-list for bad debt. Additional encounters can be selected if needed.
