Processing Pre-Listed Encounters to Bad Debt

When the Encounters Pending Bad Debt report is reviewed, and only pre-listed encounters that are turned over to a collection agency remain on the report, those encounters can be processed to Bad Debt. You can process pre-listed encounters to bad debt in two ways: From the Encounters Pending Bad Debt report. This is the preferred method to do a final review of the pre-list report and/or to save a copy of the final pre-list report before processing encounters to bad debt. Without using the Encounters Pending Bad Debt report. This is the preferred method if a final review of the pre-list has already been done and a copy of the pre-list has already been saved. Adding Encounters to the Pre-List for Bad Debt

You can add encounters to a pre-list for bad debt from the Account Profile for the guarantor, or from the Patient Chart. Each encounter to be pre-listed for bad debt must meet the following conditions: The encounter must have a status of Billed. The insurance balance on the encounter must be $0.00. Note: If an encounter has an Ins1 Amt, Ins2 Amt or Ins3 Amt balance in Balance Control, the insurance balance(s) will be moved to the Pat Amt bucket when the encounter is pre-listed. The patient balance must be greater than $0.00. The encounter cannot have a credit balance. The encounter cannot have unposted transactions. Modify Encounters on the Pre-List for Bad Debt

After reviewing the Encounters Pending Bad Debt report, you can modify the encounter on the pre-list. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter the desired patient. Select Find. All existing persons and patients that match the search criteria display in the Matching Records section of the window. In the Matching Records list, double-click to open the patient. The Patient Chart window opens. Select the Encounters tab. From the Encounters list, select the pre-listed encounter to be modified. Right-click and select Pre-List, and then select Open. The Pre-List Encounter window opens. Modify the Collection Agency, Effective Date and Bad Debt Status fields, if needed. Note: You can modify guarantor credit rating on the Properties tab in the Account Profile window. To save changes and close the window, select OK. Reinstating Encounters from Bad Debt

You can reinstate encounters from bad debt status if needed from the guarantor's Account Profile or from Patient Chart. One or more encounters are pre-listed and processed to bad debt in error. You can reinstate such encounters from bad debt. Reinstate Encounters from the Account Profile You can reinstate encounters from the Account Profile. Reinstate Encounters from Patient Chart You can reinstate encounters from Patient Chart. Reinstate Encounters from Patient Chart

When reinstating bad debt encounters from a patient chart, multiple encounters for the patient can be selected at the same time. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter search criteria to search the desired patient. Select Find. All existing persons and patients that match the search criteria appear in the Matching Records section. Select Matching Records, and then double-click the patient. The Patient Chart window opens. Select the Encounters tab. Select Encounters, and then select an encounter to reinstate from bad debt. Right-click and select Reinstate. The Reinstate Multiple Encounters from Chart window opens. All bad debt encounters for the patient with the same guarantor are displayed. The encounter that was selected before selecting Reinstate from the menu is pre-selected to be reinstated from bad debt. Additional encounters can be selected as needed. Select all encounters to be reinstated. To save changes and close the window, select OK

Reinstate Encounters from the Account Profile

When reinstating bad debt encounters from a guarantor’s Account Profile, encounters for one or more patients can be selected at the same time. For example, encounters for multiple family members that are all linked to the same guarantor. To reinstate encounters from the account profile, do the following: Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to search the desired account. Select Find. All existing accounts that match the search criteria display in the Account List section of the window. In the Account List, double-click to open the account. The Account Profile window opens. Select the Encounters Detail tab. Select a patient or an encounter to be reinstated from bad debt. Right-click the patient or encounter, and then select Reinstate. The Reinstate Multiple Encounters from Account window opens. If you select a patient before selecting Reinstate from the menu, all encounters in bad debt status for the account are displayed. Y
