Posting Transactions on Bad Debt Encounters

Payments and adjustments on bad debt encounters use transaction codes that are set up in File Maintenance specifically for bad debt encounters. Transaction Codes that have the Bad Debt Only check box enabled are available for selection on the Payment Entry window only when posting to a bad debt encounter. These transaction codes are not available for selection when posting an encounter with any other status. Encounters in Bad Debt Status

The system do the following when encounters are processed to bad debt: Account AlertA system-generated Account Bad Debt alert message appears when you access the guarantor’s Account Profile or the Patient Chart. Note: The bad debt alert must be enabled in Practice Preferences > Alerts. Encounter Status The encounter status changes from Billed to Bad Debt, indicated by a red dollar sign icon. You can view this icon on the Encounters Detail and Acct Summary tabs in the guarantor’s Account Profile. You can also view it on the Financial and Encounters tabs in Patient Chart. Encounter Note An Agency Bad Debt Write Off note is automatically added to the encounter, indicated by a push pin icon. You can view this icon on the Notes sub-tab of Patient Chart > Encounters tab. Transactions Two system-generated transactions move the encounter balance from the Regular A/R to the Bad Debt A/R. Bad Debt Credit: Removes the balance from the Regular A/R Bad Debt Debit: Adds the balance into the Bad Debt

Encounters Reinstated from Bad Debt

The following occurs on encounters that have been reinstated from bad debt: Account Alert: If all bad debt encounters are reinstated, the system generated Account Bad Debt alert no longer appears whenever the guarantor’s Account Profile or Patient Chart is accessed. If one or more encounters remain in bad debt status, the alert continues to display. Note: The bad debt alert must be enabled in Practice Preferences > Alerts. Encounter Status: The encounter status changes from Bad Debt to Billed, indicated by a medical building icon. The icon is seen in the guarantor’s Account Profile on the Encounters Detail and Acct Summary tabs. It is also seen in the patient’s chart on the Financial and Encounters tabs. Encounter Note: A Reinstate from Bad Debt note is automatically added to the encounter, indicated by a push pin icon. Adding Encounters to the Pre-List for Bad Debt

You can add encounters to a pre-list for bad debt from the Account Profile for the guarantor, or from the Patient Chart. Each encounter to be pre-listed for bad debt must meet the following conditions: The encounter must have a status of Billed. The insurance balance on the encounter must be $0.00. Note: If an encounter has an Ins1 Amt, Ins2 Amt or Ins3 Amt balance in Balance Control, the insurance balance(s) will be moved to the Pat Amt bucket when the encounter is pre-listed. The patient balance must be greater than $0.00. The encounter cannot have a credit balance. The encounter cannot have unposted transactions. Pre-List Encounters from the Account Profile You can pre-list encounters from the Account Profile on the Pre-List Multiple Encounters from Account window. Reinstate Encounters from the Account Profile

When reinstating bad debt encounters from a guarantor’s Account Profile, encounters for one or more patients can be selected at the same time. For example, encounters for multiple family members that are all linked to the same guarantor. To reinstate encounters from the account profile, do the following: Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to search the desired account. Select Find. All existing accounts that match the search criteria display in the Account List section of the window. In the Account List, double-click to open the account. The Account Profile window opens. Select the Encounters Detail tab. Select a patient or an encounter to be reinstated from bad debt. Right-click the patient or encounter, and then select Reinstate. The Reinstate Multiple Encounters from Account window opens. If you select a patient before selecting Reinstate from the menu, all encounters in bad debt status for the account are displayed. Y

Pre-Listed Encounters Excluded from the Bad Debt Process

The following pre-listed encounters are excluded from the bad debt process: Encounters with a Line Item Credit Balance: When an encounter that is already on the pre-list for bad debt has a transaction posted, before the bad debt process is run, resulting in a negative (credit) patient balance on some line items and a positive (debit) patient balance on others, a message appears when the bad debt process is run stating that there is [n] encounter that has a line item patient credit and the encounter will not be processed. You can do one of the following: To continue the bad debt process, you can select Yes. All encounters except those with a line item credit balance will process and change to Bad Debt status.
