Manage Immunization Information

The application does a check to make sure no information is missing and the medication is not expired. It also checks for duplicate entries. If information is missing or a medication is expired there will be an N (no) in the Send to Main column and an entry of ERROR in the missing field. Send Vaccines to Main Inventory

Once all desired vaccines have been loaded into the grid, and errors and undesired duplicates removed, the final step is sending them to the main inventory grid on the Inventory Management template so users can select them for administration to patients. The Send to Main column must have a Y (yes) for a vaccine to be sent to the main inventory grid. Select Send to Main. All immunizations with a Y (yes) in the Send to Main column are sent to the inventory grid on Inventory Management. Any immunizations with a N (no) and/or an ERROR, remain in the Immunization grid until corrected. Note: Immunizations remaining in the Immunization grid are not viewable to administer to a patient. Using the Spreadsheet

Open the MS Excel Spreadsheet. Note: Do not change the order of the columns, or insert new columns into the spreadsheet. Doing so will make the sheet unable to be imported. Right-click the column headers for the CPT and NDC columns and select Format Cells to set the cell format to Text to prevent MS Excel from stripping leading zeros. Enter the manufacturer name into the Manufacturer column of the spreadsheet. Enter the drug description into the Inventory Description column of the spreadsheet. Enter a valid CPT code that does not exceed 13 characters into the CPT column of the spreadsheet. Enter the 11-digit (5-4-2 format) NDC into the NDC column of the spreadsheet. NDC must be 11 digits. Enter the lot number into the Lot column of the spreadsheet. Enter a whole number into the QTY column of the spreadsheet. Enter the expiration date into the Exp. Date column of the spreadsheet. Enter Historical Immunizations

You can enter a patient's historical immunizations manually. On the immunizations tab, select Historical and select the Past Entry tab. To display all of the patient's past immunizations, select Quick Entry. Note: For existing patients, the system displays all immunizations that have been administered in the past and any immunizations that are outstanding (according to your practice's Vaccine Schedule). To display a patient's past immunizations by a certain grouping, select Pediatrics, Adult, or By Category. To search for a patient's past Immunizations that are not in the Vaccine Inventory, in the Select Past Vaccines to Add to Patient's Record section, select Search, for example rabies. In the Selected Vaccine Details section, enter details for the past Immunizations that is required for the Registry, for example, Date Source and any pertinent comments. Document Vaccine Administration Details Manually

You can manually document administration details for vaccines administered in your practice. Open the MICS Immunizations template. Enter the name of the preparer of the vaccine in the Prepared By field. Expand the Immunization Administration panel. Select one of the following options to view the required order in the Immunization Orders grid: Today's Orders Prior Pending Orders Select the required vaccine order from the Immunization Orders grid. The name of the provider who ordered the vaccine appears in the Ordering Provider field at the top of the MICS Immunizations template. The entries in the grid for vaccine name, expiry date, and CPT® code appear in the corresponding fields below the grid. The entries change as you enter additional details for the vaccine. Select the sub-location, if turned on. In the Source field, select the source of the vaccine. The Vaccine Name picklist opens. Select the vaccine to administer.
