Troubleshooting Patient Lookup Issues

When you search for a patient or person while connected to an external system, such as the EMPI Query Interaction System (EMPI QIS), you can encounter any of the following scenarios: Patient information does not exist in theNextGen® Enterpriseor external system Patient information is found in only one system Patient information is found but not linked in both systems Scenario where Person Does Not Exist in Either the NextGen Database or External System You can create a new person record when a person is not found in the NextGen database or external system. Scenario where Person Only Exists in the External System You can add a person or patient to the NextGen database when the person is found in the external system. Scenario Where a Person Is Not Found in Either the NextGen® Database or External System

When you enter search criteria in the Patient/Person Lookup window, the EMPI Query Interaction System (EMPI QIS) first searches all records available in the NextGen® database and then searches all records available in the external system. If no results are found, you can create a record for the person. From the main toolbar in NextGen® Enterprise PM, select Chart. In the Patient Lookup window, enter search criteria, and select Find. The system first searches the NextGen® database. When the patient is not found, it searches the external system and displays a message indicating that no records are found in the external MPI. Select OK. The EMPI Patient Lookup window opens. To search the external system again, enter new search criteria, and then select EMPI Find. To create a person record, select New. Scenario Where a Person Is Found Only in the NextGen® Database

In this scenario, only the NextGen® database contains the person's demographic information. When you enter search criteria in the Person/Patient Lookup window, the EMPI Query Interaction System (QIS) first checks if the person and MPI number exist in the NextGen®database. If the MPI number does not exist in the NextGen® database, you can either select the person from the NextGen® database or add the person to the external system. When you add the person to the external system, the person's demographic data from the NextGen® database is sent to the EMPI system, and an MPI number linked to the person's record is sent back to the NextGen® database. From the main toolbar in NextGen® Enterprise PM, select Chart. In the Patient Lookup window, enter search criteria, and select Find. Select a patient, and then select Open. Scenario Where a Person Is Found but Unlinked in Both the NextGen® Database and External System

From the main toolbar in NextGen® Enterprise PM, select Chart. In the Patient Lookup window, enter search criteria, and select Find. The system searches the NextGen® database and displays the results in the Patient Lookup window. Select a patient, and then select Open. The EMPI Search window opens and displays a list of potential matches found in the NextGen® database. Double-click a record to link it with both systems. If the external system is trusted, the NextGen® database is updated with the demographic data from the eternal system. Otherwise, the external system is updated with the demographic data from the NextGen® database. To add the person's demographic data to the external system, select No Matches. Scenario Where a Person Is Found Only in the External System

In this scenario, only the external system contains the person's demographic information, and there is no difference between trusted and untrusted environments. When you enter search criteria in the Person/Patient Lookup window, the EMPI QIS first searches all records in the NextGen® database and then searches records in the external system. If no results are found in the NextGen® database, the system automatically returns results from the external system. To differentiate the results of your search in the Person/Patient Lookup window, the person record returned from the external system displays a different icon than a record stored in the NextGen® database. When you select this person from the Person/Patient Lookup window, the person is automatically added to the NextGen® database, and the MPI number is set.
