Searching for a Person or Patient in NextGen® Enterprise PM

NextGen® Enterprise PM enables you to do the following: Look up a person or patient using specific search criteria. Customize the display of lookup results. Search for a person or patient using the secure lookup functionality. Open a patient's records across applications. Open patient records based on an inclusion or exclusion list. Identifying Persons and Patients You can distinguish patients and non-patients in a practice by different icons. You can view recorded non-clinical information of patients or non-patients in NextGen® Enterprise EHR and NextGen® Enterprise PM. Identifying Persons and Patients Identifying Persons and Patients NextGen® Enterprise EHR and NextGen® Enterprise PM store information for both patients and non-patients. All persons and patients have a demographics record that includes non-clinical information, such as name, date of birth, address, and phone number. Additionally, all patients have a chart that includes clinical and financial information related to their encounters in the practice. When you open NextGen® Enterprise EHR or NextGen® Enterprise PM, the following visual indicators help you to easily identify and distinguish a person from a patient. A chart icon denotes a patient in the practice. When you perform a person or patient lookup by selecting a patient from the search results, the patient's chart opens. A globe icon denotes a person who is not a patient in the practice. When you perform a person lookup by selecting a person from the search results, the Modify Person Information window opens. Find a Patient in NextGen® Enterprise EHR

To access the Patient Lookup window, do one of the following: From the Main toolbar, select the Patient button. From the File menu, select Select Patient. The Patient Lookup window appears. Enter Search Criteria to find the desired person or patient. Multiple parameters can be used. For example, enter part of the last name, part of the first name, and birth date. Note: Fields with a "lightning bolt" indicator are for direct match searches and cannot be used with other search criteria. Select Find. Note: : If you are connected to an external system, such as the EMPI Query Interaction System (EMPI QIS), the NextGen database is searched first. If no matching records are found, the external system is also searched. All existing person and patient records that match the search criteria entered display in the Matching Records list. Managing Practice Associations

An association is a logical grouping of practices that share a business interest, activity, or purpose. To comply with HIPAA requirements, NextGen® Enterprise EHR and NextGen® Enterprise PM offer the ability to create and use practice associations. New practices are automatically assigned to the DEFAULT association. If you do not want to share demographic and insurance information between practices, you can link the practice to a new association. After you assign the practice to another association, you cannot assign the practice back to the DEFAULT association. You can set up associations and assigned practices in System Administrator. If you have not enabled the secure lookup, you cannot view a person record created in one association in a different association. Patient Inclusion and Exclusion Lists in NextGen® Enterprise EHR

Your practice may use an Inclusion or Exclusion list to control which patients in the database you can view. Only the patients listed on your Inclusion list or all patients except those listed on your Exclusion list are displayed in the Patient Lookup window. The Inclusion or Exclusion list is initially set up in the System Administrator application and applied when you search for a patient. Based on your operations rights, you may be able to perform these actions in NextGen® Enterprise EHR: Modify your personal Inclusion list. Modify the Inclusion or Exclusion lists for other users. Share an Inclusion list with another user. Look up a patient on your Exclusion list in an emergency. Patient Synchronization

Patient synchronization controls if a patient currently open or active in NextGen® Enterprise PM or NextGen Optical Management appears in NextGen® Enterprise EHR when you access it. For example, if the chart for patient John Smith is currently open in NextGen® Enterprise PM or NextGen Optical Management, when you access NextGen® Enterprise EHR, the chart for John Smith automatically opens. When patient synchronization is enabled in user preferences, it works as follows: In NextGen® Enterprise PM or NextGen Optical Management, open a patient's chart. From the Main toolbar, select the EHR button. NextGen® Enterprise EHR opens and the chart for the same patient automatically opens. Enable or Disable Patient Synchronization Patient synchronization in NextGen® Enterprise EHR is enabled or disabled from the Suspend patient synchronization setting in your user preferences.
