Find a Patient in NextGen® Enterprise EHR

To access the Patient Lookup window, do one of the following: From the Main toolbar, select the Patient button. From the File menu, select Select Patient. The Patient Lookup window appears. Enter Search Criteria to find the desired person or patient. Multiple parameters can be used. For example, enter part of the last name, part of the first name, and birth date. Note: Fields with a "lightning bolt" indicator are for direct match searches and cannot be used with other search criteria. Select Find. Note: : If you are connected to an external system, such as the EMPI Query Interaction System (EMPI QIS), the NextGen database is searched first. If no matching records are found, the external system is also searched. All existing person and patient records that match the search criteria entered display in the Matching Records list. Identifying Persons and Patients Identifying Persons and Patients NextGen® Enterprise EHR and NextGen® Enterprise PM store information for both patients and non-patients. All persons and patients have a demographics record that includes non-clinical information, such as name, date of birth, address, and phone number. Additionally, all patients have a chart that includes clinical and financial information related to their encounters in the practice. When you open NextGen® Enterprise EHR or NextGen® Enterprise PM, the following visual indicators help you to easily identify and distinguish a person from a patient. A chart icon denotes a patient in the practice. When you perform a person or patient lookup by selecting a patient from the search results, the patient's chart opens. A globe icon denotes a person who is not a patient in the practice. When you perform a person lookup by selecting a person from the search results, the Modify Person Information window opens. Creating Patient Charts

An individual added to NextGen® Enterprise PM without a chart is known as a person. A person may be someone with an existing appointment, an account guarantor, insurance subscriber, or an emergency contact. A person is allocated a unique identifier and stored in the Master Person Index (MPI) which is shared by all individuals within an enterprise system. When you create a chart for a person in a practice, the person qualifies as a patient. Only the practice that creates the patient chart, has access to it. A patient associated with multiple practices has a single demographic record that can be shared with all other practices using MPI. Search for a Person or Patient

Open NextGen® Enterprise PM. From the Tasks menu, select Lookup > Charts. The Patient Lookup window opens. To search for a patient, enter the search criteria data. You can use different combinations of the search criteria to search for a patient. Select Find. People and patient records that match the search criteria, appear in the display in the Matching Records section. NextGen® Enterprise PM displays different icons for persons, patients, and patients enrolled in Enterprise Chart. The globe People icon icon indicates people who do not have a chart. The folder Patient icon icon indicates people or patients with a chart. The folder with a small globe People or Patients with an enterprise chart icon indicates people or patients enrolled in Enterprise Chart. Patient Lookup Window Note: To prevent creation of duplicate records, it is suggested to use a different criteria for performing the patient search if the desired person or patient is not found. Create a Patient Chart

In NextGen® Enterprise PM, people with an existing appointment, an account guarantor, an insurance subscriber, and an emergency contact are considered to be persons. When you create a chart, the person becomes a patient in your practice, and the patient chart is available only to your practice. However, if the patient is linked to multiple practices, a common patient demographic record is shared across the practices. Open NextGen® Enterprise PM. On the main toolbar, select Chart, and then in Patient Lookup, enter your search criteria, and then select Find. Matching people and patient records appear in the search results. To avoid creating a duplicate record, enter different search criteria combinations, and then select Find.If your practice uses phonetic search, you can select the option to include patients with similar names in the search results.
