Before you begin
Set your scanner color settings to 200 dpi and to black and white.
You can scan a document as part of a batch or the Scan & File process. Then, you can append, or add more pages to, the document you just scanned. You can append documents both before and after you post them.
- Place a document or image you want to scan into your scanner.
- Open NextGen® Document Management.
- On the toolbar, select Batches.
- In Image Batches, select the open menu
button, and then select New.
- In Batch Information, enter a description for the batch of documents or images.
- In Acquire Profile, select Scanner, and then select Acquire.
You can also select Scan Template in Acquire Profile, and then select the scanning template that you want to use from the Scan Template list.
The TWAIN Driver interface opens.
- Set the scanning preferences you want, and then select Scan.
The viewer displays the scanned document or image.
- To add more pages to the same document, select Acquire, and then scan more documents.
- To add another document to the batch, select Next Document.
A new document within the batch is created.
Note: You can add an unlimited number of documents to an unsaved batch.
- To secure the acquired batch to a user, select the user from the Secured to User list.
You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch.
- Optional: To disable workflow tasking for the batch, select the Disable Tasking for This Batch checkbox.
- Select OK to save the batch.
- To scan the barcoded batches, create and print barcoded separator sheets to insert between the pages of the document or to use pre-printing barcode scanning.
You can scan both a patient barcode and document type barcode on the same page. To include documents for multiple patients within a batch, scan patient barcodes (medical record numbers, person numbers, or encounter numbers) for different patients on the separator sheets that are placed within the batch of documents.
Note: Make sure that the Barcode Engine is filing the documents to the correct patient. Otherwise, the images can be filed in the wrong patient charts.
