Acquire Documents and Images from Files

Before you begin To ensure that you do not file any duplicate documents with similar items, configure duplicate alert messages in File Maintenance. You can acquire and file documents and images from a file in the network location or the local computer. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch. To automatically save the image batch after image acquisition, select the Auto Save Batch After Acquisition checkbox. In Acquire Profil

Append Documents After Acquiring Documents and Images from a Scanner

Before you begin Set your scanner color settings to 200 dpi and to black and white. After you scan a document as part of the Scan & File process or as a batch, you can append the document. Appending a document involves adding more pages to the document you have just scanned. You can append documents both before and after you post them. In the scanner, place the document or image you want to scan. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. Import Files in a Batch

Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. In Acquire Profile, select File Import, and then select Acquire. The File Import window opens. Select the document or image file you want to import as part of the batch, and then select Open. Optional: If you want to cancel the import process, select Shift+C, and then when a confirmation message appears, select Yes to stop the file import process at the currently imported file, The batch contains all the files that are imported up to the point you canceled the process. To add more pages to the same document, select Acquire, and then import more files. To add another file to the batch, select Next Document. A new document within the batch is created. You can import an unlimited number of files as a batch from a directory. You can import the files with the following formats: .jpg .tif .png .bmp .pdf Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. In Acquire Profile, select Directory Import, and then select Acquire. In Browse for Folder, select the directory that contains the files you want to import, and then select Ok. Add a Task to the NextGen® Enterprise EHR Workflow

You can create tasks for a To-Do List for the NextGen® Enterprise EHR Workflow module in NextGen® Document Management. If the Enable Workflow and the Create Workflow task after document is filed options are activated in the Document Type master file, then each time you select the File button when filing a document, NextGen® Document Management displays the Workflow prompt. When you select Cancel on the To Do form and then select File for the same document, NextGen® Document Management does not display the Workflow prompt again. Open NextGen® Document Management. Search for and open a document. Open the Create Task window by using one of the following methods: On the keyboard, select Ctrl+T. On the viewer toolbar, select the create task button. Right-click the document, and then select Create Task. On the NextGen® Document Management toolbar, select Tasks > Create Task. Scan Documents and Images in Batch
