Append Documents After Acquiring Documents and Images from a Scanner

Before you begin

Set your scanner color settings to 200 dpi and to black and white.

After you scan a document as part of the Scan & File process or as a batch, you can append the document. Appending a document involves adding more pages to the document you have just scanned. You can append documents both before and after you post them.

  1. In the scanner, place the document or image you want to scan.
  2. Open NextGen® Document Management.
  3. On the toolbar, select Scan & File to open the Batch Information window.
  4. Enter a description for the batch of documents or images you are about to acquire.

You can leave the default description as QuickScan if you prefer.

  5. To assign the acquired batch to a user, select the user name from the Secured to User list.

You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch.

  6. To automatically save the image batch after image acquisition, select the Auto Save Batch After Acquisition checkbox.
  7. In Acquire Profile, select Scanner, and then select Acquire.
    The TWAIN Driver window opens.
  8. Set the scanning preferences you want, and then select Scan.
The viewer displays the imported items, and the File window opens.
  9. Select a document type for the imported documents.
The File window displays the fields associated with the document type.
  10. Complete the appropriate fields for the imported document or image, and then select File.
  11. Select Save.
  12. If an application message appears asking if you want to add the saved document to the NextGen® Enterprise EHR workflow, select Yes.
The message appears only if you assigned the documents to a document type that is configured to interface with the NextGen® Enterprise EHR workflow.
    The Create Task window opens.
  13. To close and save the document, select No.
