Record Medications Brought in by the Client
A physician at the facility needs to determine if the client should be taking the prescriptions brought to the facility.
Note:
Items entered in the
Medications on Intake
panel do not upload to the Medications module.
On the
BH - Residential Administration
template, expand the
Medications on Intake
panel.
Enter the name of the prescription in the required
Medication
field.
Note:
Items entered in the
Medication on Intake
panel do not upload to the Medications module.
Enter the name of the provider that prescribed the medication and the provider's phone number.
Record the
Pharmacy name
and the
Pharmacy phone
details.
Click the
Quantity
field to enter a number.
To enter additional information, click the
Comments
field.
Click
Clear
to delete data in the fields before it is committed to the grid.
Click
Add
to save the data to the grid.
The
Date
column in the grid automatically populates with the current system date.
To filter the data in the grid, select
All
or
Current Admission
.
To modify a grid entry, highlight a row to populate the fields above with the data, make the changes and click
Update
.
To delete committed data, highlight the grid row and click
Remove

Document Dependent Data
The Dependents panel on the BH - Residential Administration template includes functionality similar to the Comprehensive Assessment, Social History section tab, Family Information panel. In the Dependents panel on the BH - Residential Administration template, type the dependent's information in the required fields. Enter the dependent's Relationship to the client and Date of birth. The system calculates and populates the dependent's Age. Document who the dependent is Living with and Identify custody issues. Do one of the following actions: Select Currently residing at facility to populate the At Facility column in the grid with a yes. Select the Dependent left facility option, enter the date, and add Comments to change the yes value to a no in the At Facility column in the grid. To delete data from the related fields before it is saved to the grid, click Clear. Click Add to save the information to the grid. Enter Personal Belongings
All of the client's valuables at intake are recorded on the Residential Personal Belongings template. On the BH-Residential Administration template, click the Personal Belongings link to open the Residential Personal Belongings template. Select an item and enter data in the associated fields in the following sections: Jewelry - Bracelet, Earrings, Necklace, Ring, Watch, Other Valuables - Checks, Credit card, Money, Purse, Wallet, Other Electrical/Electronics - Cell phone, Charger, Curlers, Hot iron, MP3 player, Laptop/PC, Other, Other/Misc. Hygiene/Toiletries - Aerosol, Liquids, Razor, Sprays, Other Clothing - Bra, Coat, Hat, Jacket, Pants, Shoes, Shorts, Skirts, Socks, Sweater, Underwear, Other DME Misc. - BiPAP, Cane, CPAP, Dentures, Glasses, Hearing aid, Walker, Wheelchair, Other Miscellaneous - five customizable fields In the General Comments field, enter comments that will populate the grid for each item currently selected. Record and View Call and Visitor Authorizations
The Call/Visitor Authorization & Log panel enables you to document permissions and/or restrictions for the client and log all visits and calls that the client receives. Open the BH - Residential Administration template and expand the Call/Visitor Authorization & Log panel. In the Permissions/Restrictions section, select one or both options for the Type (Call or Visit). To document a restriction, select the General Restriction option and click the field to select a single value from the picklist. Note: This is a customizable list. For example, the practice may want to set up a Room restriction (cannot leave room), Floor restriction (cannot leave floor), Bathroom restriction (cannot use bathroom w/o staff), or Food restrictions. This single-select picklist is locked down until the General Restriction option is selected. Document Visitor and Call Details
Document visit and call details the client receives in the Log section of the Call/Visitor Authorization & Log panel. On the BH - Residential Administration template, expand the Call/Visitor Authorization & Log panel. In the Log section, select the Call or Visit type. Enter the Date, Number of visitors, Visit duration, and Name(s). Note: The picklist for the Name(s) field contains the names that are listed in the Authorization section. Enter the Phone number and any additional Comments. To delete information from the fields before it is saved to the grid, click Clear. Click Add to save the information to the grid. Select an option to filter the grid. To modify a grid entry, highlight the desired row to populate the fields above with the data, make the changes, and click Update. Enter Details to Track the Client
The Client Tracking panel is used to document the client's location within the facility. In the Date field, click to enter a value that is editable. In the Time field, do one of the following: Click the clock button to populate the field with the current system time. Click the field to enter a different time. In the required, Location field, click to select from the customizable DB picklist. For more information on how to modify the custom DB picklist, go to NextGen Healthcare Success Community and download the latest Custom DB Picklists Practice Template for NextGen® Adaptive Content Engine. Click the Status field to select from the customizable picklist or free text up to 15 characters over the selected value. To enter additional information, click the Comments field. Restock and Administer the Medications in the Order Management Template
The Restock Medication check box and Administered option enables you to indicate any changes to actual dispensing, or administering medication records. Verify the medications in the grid. Select the medication from the grid. Medication information appears in the fields above with a Restock Medication section. If a patient needs to restock the medication, click the Restock Medication check box. Order Management template Enter the quantity in the Quantity field. Enter Comments. Click Save. An alert message appears that the medicines are restocked and the refills left for the medication. The Quantity entered will add to the Refills Remaining and will subtract from the Dispense Quantity. This update the Units used and Available units fields in the Medication Configuration template. If you click Print Label, it launches a crystal report. This report shows the remaining refills. The refills remaining are also updated in the Medications Module. Select the medication from the dispensed grid. C
