Obtain Test/Code Information for Vaccines for Individual Patients (Immunizations Module)

You can obtain the test or code information for vaccines for individual patient using the Order module template. Open NextGen® Enterprise EHR. On an encounter for a patient, open the Order module. Select the Immunizations tab. Select the latest date of the immunization for the guideline to map, for example, influenza. You can review the test or code information for vaccines using the Vaccine Orders or Inventory list in File Maintenance. Updated CPT® codes for vaccines are published in advance, especially for common or seasonal items like the influenza vaccine. If the information is not available, you can review the Vaccine Orders/Inventory list in File Maintenance to note the vaccines and corresponding CPT codes. For specific patients, the vaccine CPT® can also be retrieved from the Immunizations module. Generating a Vaccine Inventory Master File Report

You can generate and print a Vaccine Inventory Master File report, which enables you to display Vaccine Inventory data for your practice, multiple practices, a specific location within the practice, or all locations. You can display Vaccine Inventory report data according to your practice’s needs, using the following options: Selecting columns (such as Vaccine Name, CPT4 and CVX code, and Expiration Date) Selecting Filters (such as, Practice, Units remaining, and VFC) Sorting data (Such as grouping by Location and Sort Ascending by Vaccine Name) Displaying totals By selecting columns and filters, you can generate reports to obtain data, such as the following: Determine how vaccines are being used for Vaccine for Children (VFC) patients. You can obtain test or code information to map with the corresponding care guidelines on the practice templates. If it is available, obtain a list of the specific CPT® or test codes and descriptions that are used by your practice for each guideline. If the list is not available, you can review the procedures in this step to gather the codes and descriptions that are required to map the tests to guidelines. After the information is gathered, the tests can then be mapped to the corresponding guideline. Note: After you have the information for the test codes and descriptions to be mapped to corresponding care guidelines, you can proceed to mapping the codes on the practice templates. Select the Vaccine to Include in the Vaccine Inventory

To access the Vaccines Inventory List window in File Maintenance, select System, and then Vaccines Inventory. From the Vaccines Inventory List window, select the Open Menu button and select New to create a vaccine inventory entries. On the Vaccine Inventory window, on the Vaccines tab, select the vaccine from the CDC Vaccine List section. Note: The system updates the vaccines monthly when the Medication Update is run. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses.
